Provide administrative support for the Senior Development Officer and Senior Development Officer, Special Gifts, across a variety of MFAH fund raising programs including Capital and Special Projects, Planned Giving, exhibition sponsor ships, donor travel programs, and other efforts:
- Report directly to the Senior Development Officer with additional supervision and collaboration from the Senior Development Officer, Special Gifts
- Prepare meeting materials including the generation of giving histories, exhibition descriptions, education program summaries, planned giving opportunities, capital projects, and others as needed
- Assist Senior Development Officer with Chairman’s Circle travel programming, including trip planning, logistics, budgeting, and invoicing
- Assist with events (meetings/lunches/dinners/tours) for Planned Giving, Exhibition Fundraising, and Capital and Special Projects: produce invitations, track responses, reserve dates, coordinating services, creating event diagrams, ordering bar services, and greet and direct guests as needed
- Coordinate donor requests for VIP tours with Guest Services, Curatorial, Exhibitions, A/V, E&F, and Security Departments
- Maintain and update Planned Giving donor benefits, records and recognition lists
- Produce mail merge donor solicitations and invitation lists
- Produce and track donor invoices and gift instruments
- Produce Planned Giving and Special Gifts gift agreements
- Assist in creating marketing materials for Planned Giving program, including print and online materials
- Assist in the management of Collectors Studio patron group
- Maintain calendars, and answer phone calls/emails as needed
- Provide Accounting services, including invoicing, budgeting, and expense reports for larger development team
- Cultivate relationships with Planned Giving and Major Gift donors and assisting in stewardship activities
- Support the larger development team with mailings, and stewardship/fundraising events
Skills, Knowledge, and Abilities:
- Excellent written and oral communication skills
- Highly motivated and able to perform tasks with light supervision
- Ability to organize and juggle multiple tasks, paying close attention to details
- Ability to work evening and weekend events when necessary
- Excellent interpersonal skills for contact with a wide variety of MFAH donors and internal staff
- Must be self-motivated and proactive
- Proficient in Microsoft Suite
Education and Experience:
- Bachelor's degree in related field preferred OR an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved
- Working knowledge of the non-profit and/or museum environment preferred

The MFAH is an organization comprised of 600+ employees and 1,000+ docents and volunteers. The museum is more than 100 years old and ranks nationally among the top 10 art museums in exhibition space, memberships, endowments, and attendance, with 1M visitors annually. Our multifaceted institution includes multiple gallery buildings, a sculpture garden, two art schools, and two house museums for decorative arts.
The encyclopedic collection numbers more than 70,000 works of art in a wide range of media.
Work will be performed in varied and wide-ranging, mostly indoor, environments. Physical demands will also vary. Work may involve extended sitting and computer use. Evening and weekend work may be occasionally required.
