The Grants Coordinator will support the Development team in identifying, securing and managing funding from institutional donors.
About the Grants Coordinator RoleReporting to the Senior Director of Institutional Partnerships
, the successful candidate will work closely with Development colleagues across the United States and East Africa.
The position will contribute to both new business development and effective management of the organization’s grants portfolio.
The role requires excellent organization, attention to detail and strong written communication skills, with a focus on maintaining efficient grant management processes that support ambitious fundraising objectives.
Key Responsibilities Institutional Fundraising and Prospect Research- Identify and research new funding opportunities aligned with Village Enterprise’s strategy.
- Conduct due diligence and background research on prospective donors.
- Prepare donor prospect profiles and relevant background information.
- Collaborate with Development and Programs teams on proposal strategy and design.
- Coordinate inputs from Programs, Finance and Monitoring & Evaluation teams for proposal development.
- Develop increasing responsibility for proposal narratives and donor engagement as experience grows.
- Track funding opportunities and ensure alignment with organizational fundraising priorities.
- Support donor reporting processes and ensure timely, high-quality submissions.
- Coordinate information and data collection across departments for donor reports.
- Verify and synthesize information required for donor reporting.
- Respond to donor information and communication requests in collaboration with senior team members.
- Maintain accurate grant records and reporting calendars in Salesforce.
- Support the development of a knowledge management system for past proposals, reports and donor intelligence.
- Help strengthen institutional memory and reduce reliance on individual knowledge.
- Maintain accurate and up-to-date prospect and grant records in Salesforce and linked Box folders.
- Support database accuracy and continuous process improvements.
- Work with the Director of Development Operations to improve development systems.
- Develop tools and workflows that streamline grant management and reporting.
- Identify opportunities to improve efficiency through better data and systems management.
- Participate in Development and organization-wide meetings.
- Prepare summaries, project briefs and materials for donor and partner engagement.
- Support special projects and initiatives assigned by Development leadership.

- Support continuous sensitization of program participants regarding risks of child abuse and sexual or financial exploitation.
- Promote awareness of prevention and response mechanisms.
- Ensure compliance with Village Enterprise safeguarding policies and Code of Conduct.
- Report safeguarding incidents involving children or adults in program operations for appropriate action and follow-up.
