The Property Management Admin Assistant supports the effective operation of Property Management at Emma's Place, a supportive housing residential community of 13 townhomes with large families. The role will accomplish this by maintaining accurate resident and property records, managing tenant rent processes, and ensuring timely communication with residents. This position is responsible for monitoring rent collections and delinquency activity, processing payments, preparing financial documentation and reports, assisting with annual resident certifications, and supporting compliance and property management functions.
This role also assists with security monitoring, develops administrative tools and templates, and provides operational support through special projects and other duties assigned by the Property Manager.
- Property Management Support
- Maintains and manages resident and property files
- Accurately create s yearly ledgers for tenant’s invoices
- Monitor s delinquent rents and fees throughout the month.
- Receive s and process es monthly rent payments and create tenant rent reports
- Review s and monitor s security footage as needed
- Prepare s rent documentation for further review to finance
- Assist s with annual tenant income and household certifications
- Send s out resident communications, including lease warnings, rent invoices, lease violations, and notices for service
- Create s property management documents/ templates as needed
- Completes special projects and duties as assigned by the Program Manager
- Functions as a team member
- Follows through with own job responsibilities and assignments
- Engages in constructive problem solving and conflict resolution, assists other team members in doing the same
- Provides information needed by other team members in a timely and effective manner
- Offers assistance to team members as needed
- Gives and receives feedback to and from team members
- Takes direction from supervisor or manager, and implements team decisions as made

- Attends community meetings when necessary

- Maintains up-to-date knowledge and expertise in areas related to job duties including the completion of HIPAA and Vulnerable Adult training within the first 7 days of hire
- Performs other duties as assigned
- 1-3 years of experience in office or business administration, customer service, property management, or other administrative position; associate or bachelor's degree preferred
- Ability to undergo and pass a background study as detailed in Minnesota Statute 144.057 and Chapter 245C
