Job Overview:
The Parts & Service Coordinator plays a critical role in ensuring the seamless operation of parts inventory management and service scheduling within the organization. This position is responsible for coordinating between customers, service technicians, and parts suppliers to guarantee timely and accurate delivery of parts and services. The coordinator will manage service appointments, track parts orders, and maintain detailed records to support efficient workflow and customer satisfaction.
By effectively communicating with all stakeholders, the role helps minimize downtime and supports the overall maintenance and repair process. Ultimately, the Parts & Service Coordinator contributes to operational excellence by optimizing parts availability and service responsiveness.
Our most successful Parts & Service Coordinators:
- Possesses a high school diploma or equivalent.
- Possesses experience in parts coordination, service scheduling, or a related administrative role.
- Demonstrates strong organizational skills and the ability to manage multiple tasks simultaneously.
- Demonstrates strong verbal and written communication skills.
- Possesses customer service experience with an emphasis on problem-solving and conflict resolution.
- Demonstrates proficiency with inventory management and scheduling software.
- Demonstrates familiarity with ERP systems and inventory control techniques.
- Possesses experience in the automotive, manufacturing, or heavy equipment industry preferred.
- Demonstrates the ability to analyze data, forecast parts demand, and improve inventory turnover.
- Possesses an associate degree or higher in Business Administration, Logistics, or a related field preferred.
Scope of Responsibility:
- Coordinate and schedule service appointments between customers and service technicians to ensure efficient use of resources and timely service delivery.
- Manage parts inventory by ordering, receiving, and tracking parts to maintain optimal stock levels and prevent service delays.
- Communicate with customers regarding parts availability, service status, and any potential delays or issues.
- Collaborate with suppliers and vendors to expedite parts orders and resolve any discrepancies or shortages.
- Maintain accurate records of parts usage, service orders, and customer interactions to support reporting and continuous improvement efforts.
