SCOPE

Supports the Fleet Manager in the day-to-day management of company owned and leased vehicle assets. This role moves vehicles and equipment between company locations, repair and maintenance facilities, fueling stations, and vehicle washes; keeps Motor Pool vehicles clean, fueled, and ready for service; and handles the tracking, reporting, and recordkeeping that keeps the fleet accounted for. The Fleet Assistant is the point of contact between vendors and staff on vehicle-related matters, and is trusted to operate company assets safely and represent Target Hospitality well on the road.

PRIMARY RESPONSIBILITIES

Vehicle and Equipment Transport

  • Accountable and responsible for maintaining a safety culture, following all SOPs, JSAs, and policies and procedures as set out by Target Hospitality.
  • Transport vehicles to and from repair and maintenance facilities, company locations, fueling stations, vehicle washes, and other destinations as directed.
  • Transport equipment to and from company locations by vehicle, or by vehicle and trailer, with a maximum trailer length of 24 feet.
  • Properly secure all cargo before transport, and verify loads are stable and compliant prior to departure.
  • Operate all fleet vehicles safely and lawfully, including one-ton trucks and box trucks.

Fleet Readiness and Maintenance

  • Ensure Motor Pool vehicles are clean, fueled, and prepared for service at all times.
  • Perform routine vehicle inspections and make minor adjustments as needed, including adding fluids, adjusting tire pressure, and changing bulbs.
  • Identify and report maintenance issues, damage, and safety concerns to the Fleet Manager promptly.
  • Coordinate vehicle drop-off and pick-up schedules with repair and maintenance vendors to minimize downtime.

Administrative Support

  • Assist with administrative tasks including typing, data entry, tracking, and preparing and updating reports.
  • Maintain fleet databases and records, and audit for completeness and accuracy.
  • Prepare and maintain paper files, and accurately prepare, review, edit, send, and store electronic and paper documents.
  • Support registration, insurance, inspection, and title documentation for company owned and leased vehicle assets.

Communication and Coordination

  • Communicate with vendors and staff members on all matters related to company leased and owned vehicle assets.
  • Respond to vehicle requests from company locations and keep requestors informed of status and timing.
  • Additional duties may be assigned by a manager.

PHYSICAL DEMANDS

  • Extended periods of driving, including long-distance travel between company locations.
  • Repeated climbing into and out of vehicles, including one-ton trucks and box trucks.
  • Extended periods of sitting and computer use when performing data entry, tracking, and reporting.
  • Short- and long-distance walking required when moving between vehicles, yards, and buildings.
  • Use of stairs and step stools.
  • Bending, reaching, and kneeling when inspecting vehicles, securing cargo, and connecting trailers.
  • Occasionally lift an average weight of 25 lbs with a maximum of 50 lbs. Where weights may exceed 50 lbs, the assistance of another person or a lifting aid is mandatory.

WORKING CONDITIONS AND ENVIRONMENT

  • Ability to hear and understand verbal instruction as well as other sounds such as safety alarms and signals.
  • Must be able to see without impairment and able to read small text such as product warning labels.
  • Exposure to extreme hot and cold environments when working outdoors, in yards, and at fueling and maintenance facilities.
