Assistant CYF Logistics Coordinator & Transportation Specialist

The Assistant CYF Logistics Coordinator & Transportation Specialist supports Vision Towards Peace's CYF transportation program by providing two days per week of logistical coordination coverage and three days per week of direct client transportation. This hybrid role ensures continuity of operations, safe and timely transport, and consistent communication with families, caseworkers, schools, and clinical staff.

The assistant functions as the primary backup to the CYF Logistics Coordinator on designated off-days, maintaining scheduling flow, dispatching drivers, and responding to real-time transportation needs. On driving days, the assistant performs all duties of a Transportation Specialist in accordance with CYF, DHS Chapter 5200, and agency standards.

• Coordinate and schedule transportation services for CYF clients, ensuring timely access to appointments, court obligations, school, therapy, and family visitation.
• Serve as point of contact for transportation logistics during Coordinator off-days, including communication with foster families, biological families, schools, caseworkers, and providers.
• Assign routes, dispatch drivers, and monitor transportation flow throughout the day.
• Respond to schedule changes, urgent needs, cancellations, and emergent logistical issues.
• Maintain situational awareness of daily operations and elevate concerns to leadership when needed.
• Document coordination activities, updates, and service details in the EHR and county KIDS system in accordance with CYF and 5200 documentation standards.
• Communicate promptly with program leadership regarding incidents, delays, or safety concerns.
• Update and maintain transportation spreadsheets and operational logs.
• Support continuity of care by ensuring transportation aligns with individualized service plans and CYF expectations.

Transportation Duties (Three Days per Week)

• Safely transport adult and child clients between homes, schools, therapy sites, and community locations in compliance with traffic laws and VTP safety policies.
• Plan routes to meet appointment times while prioritizing safety and client well-being.
• Communicate pickup and drop-off details with guardians, caseworkers, facility staff, or foster families; document changes or delays.
• Provide respectful assistance with boarding, seatbelts, and individualized care instructions.
• Maintain strict confidentiality, professional boundaries, and adherence to PHI protection standards.
• Complete trip logs, mileage records, incident reports, and vehicle documentation accurately and promptly.
• Perform pre-trip vehicle inspections, report maintenance needs, and ensure vehicles remain clean and properly stocked.
• Communicate relevant observations or concerns to the CYF Logistics Coordinator and clinical team following agency protocols.

Required Qualifications & Clearances

• High School Diploma or equivalent.
• Valid Pennsylvania Driver’s License with acceptable Motor Vehicle Record.
• Ability to pass all required background checks, including criminal history and child abuse clearances.
• CPR/First Aid certification preferred; passenger assistance or safe-transport training preferred.
• Strong communication skills and ability to interact professionally with children, adults, families, and multidisciplinary teams.
• Ability to remain calm, organized, and responsive in high-pressure or crisis situations.
• Basic proficiency with scheduling systems, spreadsheets, and electronic documentation platforms.

Preferred Skills & Experience

• Experience in transportation coordination, dispatching, or logistics.
