Customer Service Rep/Outside Sales Support

Role Summary

We are seeking a detail-oriented and customer-focused Customer Service Rep/Outside Sales Support to join our team. The CSR will support the Outside Sales Representatives and is responsible for order entry and primary day-to-day customer communication. They are also responsible for accurately and promptly entering orders so our production team can create a quality product matching the customers specifications. This role requires excellent communication, strong organizational skills, and a good understanding of manufacturing workflows.

Responsibilities
  • Works directly and supports assigned Outside Sales Representative
  • Audits orders received for price, quantity and delivery
  • Responds to customer inquiries via phone, email, and online portals in a professional and timely manner
  • Enter and manage customer orders using ERP order management systems
  • Coordinates and assists Graphic Design department with customer artwork and artwork proofing
  • High attention to detail – able to easily catch spelling and pricing differences
  • Checks and maintains customer inventory in the database as well as in the warehouse
  • Provides accurate pricing, lead times, and product information
  • Coordinates with production, shipping, and sales teams to ensure customer specifications and delivery deadlines are met
  • Handles changes, cancellations, and adjustments to orders efficiently
  • Proactively communicates with customers about order status, delays, or issues
  • Resolves complaints or concerns with a focus on customer satisfaction and retention
  • Proactively assists finance team regarding collections on past dues, COD and other special payment terms
Skills
  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • Ability to work in an open office environment
  • Ability to work in a fast-paced environment with shifting priorities, adaptable, and able to work under pressure
  • ERP system experience preferred – willing to be certified
  • Attention to detail and well organized
  • Familiarity with printing process, materials, or label production is a plus
  • Decision-making capability and able to work independently with minimal supervision after training
  • Able to multitask and work on multiple projects
  • Problem-solving and analytical skills
  • Ability to respond to common inquiries or complaints from customers
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Experience with Microsoft Office Suite, particularly Outlook & Excel

$18 - $20 an hour
