Responsibilities- Under the direction of the Plant Manager, perform journey level administrative duties and/or technical program assistance to support operations of the unit. Establish, track, and maintain internal record-keeping systems, ensuring files are accurate, up-to-date, and securely stored.
- Purchase equipment and parts for all shops as needed or requested, and follow all purchasing and procurement card rules and regulations identified through department or agency audits.
- Act as primary liaison, ensuring clear and professional communication with the public, internal departments, government entities, and external organizations.
- Organize and coordinate meetings, conferences, and seminars by scheduling appointments.
- Assist Clerk with entering/closing work orders into the Computer-Aided Facility Management (CAFM) system upon request.
- Act as the Data Coordinator for Plant Maintenance, assisting users with computer applications and troubleshooting mechanical problems.
- Perform other duties as assigned, including participating in disaster response and/or Continuity of Operations (COOP) activation, which may require alternate shift patterns or location.
- Attend work on a regular basis and work a specified or rotating shift schedule, including extended shifts and/or overtime as needed.
- Organize, maintain, and safeguard internal records and documentation; support compliance with organizational policies and procedures; maintain confidentiality.
- Manage daily mail, updated contact lists, and staff information in CAPPS; ensure staff/shop phone lists are current.
- Coordinate office and facility repairs by communicating with vendors or maintenance personnel; enter repairs in CAFM and follow through to completion.
- Respond to inquiries about work orders; research, close, and report on work orders; report elevator issues and coordinate with electricians as needed.
- Gather, review, and analyze documentation and data to support technical operations and administrative processes; prepare and distribute official documents with accuracy.
- Maintain plant maintenance data as Data Coordinator, ensure maintenance records accuracy, and facilitate cross-department communication.
- Ensure boiler and elevator certificates are up to date; complete LAN change requests per Information Management protocols; adhere to filing and insurance procedures.
- Procure equipment and parts for shop operations; ensure purchases comply with policies; review invoices and enter into purchasing database; reconcile invoices daily.
- Serve as a central point of contact for internal teams, external agencies, and the public; foster positive stakeholder relationships.
