Job Description

Under the direction of the Plant Manager, the Administrative Assistant III – Maintenance Support provides administrative and technical program assistance to support unit operations. The role involves managing internal record‑keeping systems, coordinating procurement, acting as a liaison with the public and internal departments, and handling data coordination for plant maintenance.

Essential Job Functions
  • Attend work regularly and may be asked to work specific or rotating shift schedules, extended shift, and overtime as required.
  • Organize, maintain, and safeguard internal records and documentation, ensuring confidentiality and compliance across departments.
  • Coordinate office and facility repairs by communicating with vendors or maintenance personnel, entering repairs in CAFM and tracking to completion.
  • Manage data and assist users with computer applications, troubleshoot mechanical problems, and maintain maintenance records.
  • Procure equipment and parts for all shop operations, ensuring purchases comply with procurement policies and recording invoices.
  • Serve as a central point of contact for professional and effective communication with internal teams, external agencies, and the public.
  • Organize and coordinate meetings, conferences, and seminars, including scheduling, agenda preparation, and travel arrangements.
  • Accurately enter information into databases or systems from various sources, verify accuracy, and generate reports as needed.
  • Maintain staff certifications, follow up on pending AUA certifications, and ensure documentation is filed in personnel folders.
  • Perform other assigned duties, including supporting disaster response or continuity of operations activations as required.
Knowledge,

Skills and Abilities
  • Knowledge of office practices, administrative procedures, business English, spelling, grammar, state travel policy and record‑keeping systems.
  • Knowledge of HIPAA laws and proficiency in written, verbal and time‑keeping communications.
  • Proficiency in Microsoft Office products and ability to implement and evaluate administrative procedures.
  • Capability to work independently and in a team, manage multiple projects, prepare correspondence, forms and requisitions, and interpret complex rules and regulations.
  • Ability to maintain confidential information securely and communicate efficiently and effectively in writing and verbally.

None

Initial Screening Criteria

At least two (2) years’ experience in a professional support role.

Additional Information

Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Male applicants aged 18‑25 must be registered with the Selective Service. All applicants must be at least 18 years of age;
Waco and Terrell Center for Youth applicants must be 21 years of age.

Flexibility and Work Hours

Flexibility in work hours may be required, including overtime and extended hours.

Immunization Policy

Compliance with HHSC immunization policy is required. Employees may be required to be vaccinated against hepatitis B, measles, mumps, rubella, varicella, tetanus, diphtheria, pertussis and influenza. Vaccines may be provided. Unvaccinated influenza coverage may require mask usage and other protective measures.
