The Program Supervisor I (Maintenance Administrative Coordinator) performs routine administrative and supervisory program work for all administrative and financial responsibilities for the Maintenance Department. The role includes supervising and training all maintenance staff on complex computer programs, overseeing facility HR tasks, and handling various financial recording requirements under moderate supervision.
EssentialJob Functions (EJFs)
- Attend work on a regular basis and may be required to work a specific or rotating schedule, extended shift, and/or overtime in accordance with agency leave policy.
- Supervise all work in human resource areas for staff assigned in the program area, including reviewing applications, interviewing candidates, scheduling workload, evaluating work performance, providing feedback and guidance, recommending staff development and training, and scheduling and approving leave.
- Maintain the Capital Asset Planning System (CAPS) through periodic updates of the CAPS program.
- Monitor and supervise receipt of all work requests, ensuring continuous flow of processes involved in managing the work documents.
- Input all work orders, job orders, and preventative maintenance orders into the appropriate CAFM program.
- Maintain records pertaining to all maintenance and construction contracts to comply with state regulations.
- Compile all credit card transaction data for department credit holders and comply with all credit card/pro‑card policies and procedures.
- Reconcile purchases with purchase order and contracts; follow procurement and contracting procedures to account for all purchases.
- Use CAPPS Financial and SCOR to enter requisitions and reconcile.
- Attend scheduling, programming, and other meetings as required to update new developments.
- Conduct staff competency, New Employee Orientation (NEO), and in‑service training for maintenance employees and unit coordinators.
- Supervise the management of all vehicle records and correspondence via the FLEET Management Program.
- Supervise key control records and key issue processes to provide accurate accounting of all keys issued.
- Ensure all performance evaluations are processed timely and that employees on extended leave receive correct forms.
- Participate in disaster response, recovery, or Continuity of Operations (COOP) activation, which may require an alternate shift pattern and/or location.
- Knowledge of Contract Management Systems (SCOR)
- Knowledge of Work Order and Purchasing programs, understanding workflow from request through task completion.
- Knowledge of all credit card/pro‑card procedures
- Skills in using computers, word‑processing software, and fax machines
