Responsibilities & RequirementsThis position, within the Innovation, Research & Grants team, works with the Manager of Grants Administration and is responsible for the full life cycle of assigned sponsored programs and projects for Kettering Health. The role ensures compliance with applicable laws, regulations and funder-specific terms and conditions. Responsibilities include finding funding opportunities, coordinating proposal development and overseeing post-award activities such as compliance monitoring, financial oversight and grant closeout.
Performs other duties as assigned.
- Reviews Notice of Funding Opportunity (NOFO or RFP) for eligibility, funding level, sponsor objectives, application requirements, funding agency application submission portals
- Establishes standards and deadlines for proposals, reviews proposals for completeness, and ensures compliance with funding agency and organizational standards.
- Prepares grant applications and budgets that meet funder requirements for completeness, accuracy, and alignment with institutional strategic objectives.
- Prepares subcontract proposals and administers major contracts.
- Coaches internal and external partners in grant seeking activities (Request For Proposal review and eligibility determinations; proposal writing, budget-building, etc.);
- Coordinates the administrative management, reporting and closeout of grants and other programmatic investments made by funders.
- Provides administration for the grants process throughout all stages including receiving, assessing, tracking, payment/check requests, documenting all inquiries and/or proposals; assuring that submitted documentation meets all agency and legal requirements; and maintaining accurate and timely records of programmatic activities.
- Oversees standard terms and conditions for grant award letters and agreements.
- Assists with required research pertinent to grant due diligence, ongoing review, and close-out analyses.
- Coordinates reporting process for grants. Reviews team programmatic reports and assures they meet funder requirements. Prepares financial reports for submission.
- Assure compliance with the assigned grants including adherence to the Uniform Guidance and any agency/organization specific Terms and Conditions.
- Updates/creates process documents for group review/presentation. Keeps these documents updated as needed.
- Provides technical assistance to grantees with online application and reporting processes.
- Maintains grants database, grants management system, and physical grant files ensuring the accuracy and integrity of data as well as grantee relationship history.
- Maintains collaborative relationships with funding agencies, partners and grant seeking teams.
- Other duties as assigned aligned with Kettering’s strategic objectives.
- Bachelor’s degree, Masters preferred by not required.
- 3 years work experience in grants management
- Familiarity with the Uniform Guidance and federal grant funding compliance and how it is commonly interpreted.
- Expertise in the basic accounting principles
- Expertise in all phases of the grant life cycle.
- Excellent customer service skills and proven skill coaching teams through complex project execution on tight deadlines;
- Excellent written and oral communication skills; exceptional interpersonal skills, a focused listener.
- Advanced MS Office skills (e.g., Word, Excel, Access, PowerPoint, Teams).
- Strong organizational and project management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Ability to take initiative and manage projects assigned through completion with minimal supervision.
- Creative and innovative thinker who actively presents new opportunities, proposes solutions and recommends best practices. Creative problem solving.
- Ability to develop rapport and engender trust and maintain a positive attitude and professional demeanor under stressful conditions.
