Position: Lead Medical Assistant - Front/Back Swing, Primary Care, (Sausalito), Full-Time, Days

Job Summary

The Medical Assistant Lead is a critical part of the leadership team for the practice, coordinating with the Lead Front Office Coordinator, Specialty Leads, and the Practice Leader to ensure the smooth running of the practice and providing leadership, training, and supervision within medical‑assistant scope.

Responsibilities
  • Direct day‑to‑day supervision of the medical‑assisting team.
  • Train, coach, and conduct competency sign‑offs for new and less experienced MAs, including annual updates.
  • Collaborate with the Clinical Operations Team to stay current on new medications and supervise the MA responsible for the medication prescription refill program.
  • Manage MA‑to‑Physician assignments, staff utilization, and coverage for all physicians.
  • Resolve flow issues and address patient and clinician bottlenecks.
  • Assist the Lead Front Office Coordinator in improving communication between front and back office.
  • Develop and manage cleaning and stocking schedules; assign rooms and audit work performed by each MA.
  • Maintain a well‑organized back office by defining side‑work and checking it weekly.
  • Determine equipment and supplies for each room, develop standard positioning, and oversee once‑per‑month ordering of supplies, vaccines, and injectables.
  • Work with the Practice Leader on budget development for supplies, vendor evaluation, and contract renewal during the appropriate cycle.
  • Check the emergency kit monthly for missing or expired items.
  • Participate in hiring, performance review, disciplinary processes for MA staff, and provide feedback to physicians and the Practice Leader.
  • Act as triage coordinator to help MAs better organize their time and serve the clinician group.
  • Provide backup support for the entire medical‑assistant team, approving PTO and timecards, and ensuring accurate time and attendance reporting.
  • Perform all other duties as required or assigned, and work in multiple locations if necessary.
Qualifications
  • High school diploma or GED required.
  • Medical Assistant certification from an accredited program such as NHA or AMCA required.
  • BLS certification (American Heart Association) required.
  • Minimum 5+ years of medical‑assisting experience with progressive team‑leadership skills; 1+ year supervisory experience preferred.
  • Demonstrated leadership, punctuality, reliability, professionalism, and exceptional customer‑service skills.
  • Ability to multitask, knowledge of medical terminology, and professional communication skills.
  • Proficiency in electronic medical records; use of APeX software is a plus.
Compensation

Pay range: $29.49 – $34.33 – $40.05 per hour. Individual pay is set by skills, experience, qualifications, and internal/market equity.

Health & Immunizations

Employees must be vaccinated for measles, mumps, varicella, and influenza annually. COVID‑19 vaccination or booster is strongly recommended, with exemptions considered in accordance with applicable law.
