Rgheeb is seeking a highly skilled and proactive Executive Secretary to support our executive team. In this pivotal role, you will be responsible for providing comprehensive administrative assistance to senior management, facilitating communication, and ensuring the seamless organization of executive schedules. The ideal candidate is detail-oriented, possesses excellent multitasking abilities, and is adept at managing confidential information with discretion. Responsibilities
  • Manage executive calendars, including scheduling appointments, meetings, and travel arrangements.
  • Prepare reports, presentations, and correspondence while ensuring accuracy and clarity.
  • Act as a liaison between executives and internal/external stakeholders, efficiently handling inquiries and communication.
  • Organize and coordinate meetings, including preparing agendas and taking minutes.
  • Maintain filing systems and manage confidential documents with discretion.
  • Assist with special projects and administrative tasks as needed to support the executive team.
  • Continuously improve administrative processes to enhance overall office productivity.

Requirements

  • Proven experience as an Executive Secretary or in a similar role supporting senior management.
  • Strong organizational and time management skills with a keen attention to detail.
  • Exceptional verbal and written communication skills.
  • Proficient in MS Office Suite and other office management software.
  • Able to handle sensitive information with confidentiality and professionalism.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
  • High school diploma or equivalent; additional certification in office administration or a related field is a plus.
