Job Overview
To ensure the smooth running of administrative and logistical operations within the academy. Coordinate with internal departments, such as Finance and HR, and external bodies (i.e., SAFF and MoS), to ensure compliance, streamline operations, and support the academy’s daily functions.
Job Responsibilities Administration & Logistics- Provide essential administrative support to the Academy Operations team, ensuring timely completion of tasks and effective management of day-to-day operations.
- Maintain accurate databases, records, and files related to players, staff, and academy activities, ensuring easy access and compliance with internal policies.
- Assist in planning and executing logistical arrangements for academy events, including coordinating venues, transportation, and accommodations.
- Coordinate with the HR department to ensure proper player and staff documentation, contracts, and compliance with internal policies.
- Collaborate with the Finance department to track and manage budgetary requirements, including expenses for travel, events, and supplies for teams and age groups.
- Manage office supplies and procurement documents, coordinating with internal departments (HR, Finance) to meet logistical and administrative needs.
- Liaise with external bodies to ensure compliance with regulatory requirements and oversee the submission of necessary documentation for player registrations, licensing, and permits and support the secretary’s work in transferring windows.
- Ensure that all academy operations align with the standards set by external bodies, such as SAFF and MoS, and manage documentation for audits and compliance checks.
- Bachelor’s degree in Business Administration, Management, or a related discipline.
- Diploma in Sports Management from a CIES, FIFA, or LDI-accredited institution is preferred.
- FIFA Guardians Safeguarding Certification is an advantage.
- Previous experience in office administration, coordination, or secretarial roles.
- Knowledge of Saudi Arabian Football Federation (SAFF) and Ministry of Sport (MoS) regulations and procedures.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Strong organizational, administrative, and communication skills.
- Fluency in English, both written and spoken.
- Additional language skills, particularly Arabic and Spanish, are highly desirable.
- Ability to coordinate effectively with internal departments and external stakeholders in a fast‑paced sports environment.
