Overview

Galapagos Federal Systems LLC is seeking a qualified Business Analyst to provide comprehensive administrative, analytical, and operational support to Maui Space Surveillance operations in support of the 15th Space Surveillance Squadron. This position serves as a central point of coordination for business operations, personnel administration, information management, and organizational performance support essential to daily mission execution.

Job Summary

The Business Analyst will function as the operational and analytical hub for the unit, ensuring efficient office processes, accurate personnel action tracking, disciplined information management, and proactive oversight of business workflows. The role requires a strong understanding of DoD administrative systems, organizational performance tracking, and structured business processes within a mission‑critical space operations environment.

This position blends business operations, process improvement, reporting, and stakeholder coordination to enhance efficiency, compliance, and mission effectiveness.

Key Responsibilities
  • Serve as the central point of contact for unit‑level business, personnel, and information management activities in support of Maui Space Surveillance (Maui SpAM) operations
  • Manage front office operations, including receiving, routing, and tracking official correspondence and tasking
  • Maintain and monitor suspense tracking systems (e.g., Task Management Tool or other designated platforms) to ensure timely assignment and completion of actions
  • Maintain and update SharePoint sites, task management tools, and leadership dashboards to ensure accurate and current information
  • Prepare, review, and route official correspondence, including memorandums, policy documents, and administrative records, ensuring compliance with established standards
  • Coordinate and manage the unit master calendar, scheduling meetings, events, and leadership engagements while resolving conflicts
  • Ensure compliance with Records Information Management System (RIMS) requirements and maintain continuity books, SOPs, and process documentation
  • Coordinate and execute in‑processing and out‑processing actions for military and civilian personnel
  • Process and track personnel actions, including duty status changes and administrative documentation
  • Support evaluation and awards programs by preparing, validating, and routing performance reports and recognition packages
  • Monitor and report on mandatory training completion; notify leadership of delinquencies and compliance trends
  • Serve as liaison between the unit and supporting agencies (Finance, IT, Military Personnel Flight, Civilian Personnel Office) to resolve administrative issues
  • Develop reports, dashboards, and performance metrics to support leadership decision‑making
  • Analyze personnel and operational data to identify trends, improve workflows, and provide data‑driven recommendations
  • Provide responsive customer service and administrative guidance to assigned personnel
Skills and Experience
  • Active Secret Clearance
  • 3+ years of experience in business operations, administrative management, business analysis, human resources, or executive support
  • Experience working in a Department of Defense or federal environment
  • Experience gathering, documenting, and tracking business processes, tasking, and administrative workflows
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Share Point
  • Familiarity with task management and military administrative systems (e.g., TMT, myFSS, MilPDS)
  • Strong analytical skills with the ability to interpret operational and personnel data
  • Excellent written and verbal communication skills, including preparation of official correspondence and leadership briefings
  • Strong organizational and time‑management abilities with disciplined suspense tracking
  • Ability to work independently while coordinating across cross‑functional teams in a structured, mission‑focused environment
  • Customer service‑oriented mindset and professional demeanor
Education and Certifications Required
  • Bachelor's degree in Business Administration, Public Administration, Management, Human Resources, Information Systems, or related field preferred
