Under the supervision of the Compliance Supervisor, the Compliance Clerk performs detailed clerical, accounting, and administrative work in receiving and entering new cases/accounting data into the court's case management software.

SUPERVISION EXERCISED:

Employee has no supervisory responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Respond to inquiries from the public regarding extension of time to pay and payment plans.
  • Coordinate the scheduling of interviews with defendants to determine their ability to pay.
  • Compile review packets for interviews.
  • Accept applications for extension of time for payment from defendants and verify the information provided.
  • Perform processing and data entry functions.
  • Compile and prepare weekly statistical reports for management review.
  • Enter collection memos or notes into the court's case management software.
  • Document all collection action taken.
  • Monitor payment activity and enter payment transactions into the court's case management system.
  • Ensure the accuracy of all reports, data entry functions, transactions, and records.
  • Compile weekly delinquency and collections reports for the manager's review.
  • Prepare and send collections notices.
  • Learn, correctly interpret, and apply the laws, codes, policies, and procedures related to the processing of criminal court cases.
  • Assist the public in person, by mail/email, and by telephone including retrieving information and files and providing complex information to defendants regarding their criminal court case.
  • Administer oaths.
  • Handle receipts, deposits, and accounts for monies for fines.
  • Scan court documents into the court system.
  • Operate a computer terminal and printer to type, enter, modify, and retrieve a wide variety of court documents, reports, records, letters, and other material.
  • Make sound judgments and decisions.
  • Adhere to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensure all behaviors comply with the City's Personnel Rules and Regulations.
  • Perform other duties as assigned.
REQUIRED MINIMUM QUALIFICATIONS

EDUCATION AND EXPERIENCE:
  • Graduation from high school or equivalent.
  • One (1) year of customer service experience, including collection of cash.
  • One (1) year of prior work experience in clerical or administrative work.
  • Or any equivalent combination of education and experience.
  • KNOWLEDGE, SKILLS, AND ABILITIES:
  • Working knowledge of computer applications.
  • Considerable knowledge of general office procedures; working knowledge of legal language and legal procedures.
  • Skill in operation of the listed tools and equipment.
  • Ability to communicate effectively on a one-to-one basis with the public; maintain effective working relationships with employees, other departments, officials, and the public; work under pressure and/or frequent interruptions.
  • Maintain accurate records; type and enter data accurately.
  • Adapt to constant change.
  • Maintain regular and punctual attendance.
  • Communicate effectively, orally and in writing.
  • Make simple arithmetic calculations and accurately enter information into a computer.
  • Manage workload to maximize productivity and efficiency.
  • Exercise sound judgment in evaluating situations and making decisions.
  • Maintain collection files and records.
  • Follow verbal and written instructions.
  • SPECIAL REQUIREMENTS:
  • Must have a valid driver's license by date of hire.
  • Must obtain and maintain a Texas Driver's License within 90 days of hire.
  • Ability to speak and read Spanish preferred.
  • TOOLS AND EQUIPMENT USED:

    Personal computer, word processing software; central Municipal Court computer system; telephone; scanner, copy and fax machines.
