Overview
The Clerk III is directly responsible to the Associate Registrar of Operations and the overall duties and responsibilities of this position are to process requests for students, generate permanent academic records in accordance with institutional and accrediting guidelines, provide general record‑keeping support services to students, verify the accuracy of data entry along with scanning and quality control of scanned images, and perform routine clerical tasks.
QualificationsA high school diploma or GED is required with three years of wage‑earning clerical experience or certification/successful completion of the relevant trade school (30 college credits) and six months of wage‑earning clerical experience are required.
A copy of certificates and/or college transcripts is required with the application for evaluation purposes.
Preferred QualificationsCertification/successful completion of relevant trade school preferred.
Key Skills- Customer service skills are an absolute necessity.
- Demonstrated oral and written communication skills.
- Must be able to work with numeric and alpha filing systems.
- Ability to maintain the confidentiality of student information.
- Ability to learn hands‑on and have attention to detail and task‑oriented.
- Ability to make frequent independent judgments related to the college’s standard policies, practices, and functions.
- Ability to work in a fast‑paced environment and multi‑task.
- Able to use Excel and email on a daily basis.
- Receive, code, verify data, and perform data entry tasks received from admission applications, registrations, and posting of grades from class rosters.
- Perform routine office clerical services and duties including scanning, quality control, posting grades, assembly of material, checking records, entering historical classes, and justifying reports (Informer).
- Assist in the research and maintain documentation concerning grade changes and withdrawals.
- Assist with historical PARs (Permanent Academic Records), and reports, and perform student registration and admission services.
- Operate office machinery including PC computer, copier, fax, scanner, and telephone.
- Be willing to work overtime during advertised registration periods, special projects, and some weekends if needed.
