Job Summary

The Medical Records Specialist plays a crucial role in ensuring accurate and efficient management of patient medical records in a healthcare facility. This position involves organizing, maintaining, and safeguarding patient information to support the delivery of quality healthcare services and compliance with regulatory requirements.

Duties and Responsibilities
  • Maintain and update patient medical records, ensuring they are accurately organized, filed, and easily retrievable using electronic health record (EHR) systems or traditional paper-based filing systems.
  • Accurately enter patient information, including medical history, diagnoses, treatment plans, test results, and other relevant data into the electronic health record system or other designated databases.
  • Adhere strictly to patient confidentiality guidelines and ensure the security of all patient records, following HIPAA and other applicable data protection regulations.
  • Process requests for the release of medical records in compliance with legal requirements and organizational policies, verifying the validity of requests and obtaining proper authorization while meeting deadlines outlined by Texas law and company policy.
  • Conduct routine audits and reviews of patient records to identify discrepancies, inaccuracies, or missing information, and rectify any issues promptly.
  • Respond to internal and external requests for medical records, ensuring timely and accurate delivery to authorized personnel, physicians, or institutions.
  • Coordinate the proper archiving and storage of inactive patient records while adhering to retention policies, as well as the secure disposal of expired records.
  • Handle requests for the release of medical information to patients, insurance companies, and legal representatives, ensuring compliance with privacy regulations.
  • Familiarity with the use of electronic health record systems, proficiency in navigating the system, and ability to assist healthcare professionals in accessing and updating patient information.
  • Collaborate with medical staff, nurses, administrators, and other healthcare professionals to ensure seamless record management and assist in resolving any related issues.
  • Monitor data integrity and accuracy within the electronic health record system, promptly correcting any errors or discrepancies found.
  • Stay informed about updates and changes in medical record regulations and electronic health record systems. Provide training and support to staff members regarding medical record procedures and best practices.
  • Assist in generating reports related to medical record activities, such as audits, release of information statistics, and compliance with regulatory requirements.
  • Other responsibilities as assigned.

  • Previous experience in medical records management or related healthcare administrative roles.
  • Proficiency in electronic health record systems (eClinical Works is a PLUS).

  • Attention to detail and strong organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
