Terr Ascend is seeking a Sales and Service Operations Coordinator to manage the endtoend wholesale order workflow for the Northeast region ensuring accuracy, compliance, and seamless execution across multiple internal systems.
In this role, you will oversee the full lifecycle of wholesale orders while working cross-functionally across the enterprise. You will be a key counterpart to our Territory Sales Managers. As a Sales and Service Operations Coordinator, strong operational judgement and a deep understanding of wholesale workflows are essential. Requirements
    • Responsibilities include but are not limited to:
    • Order Operations & System Management
    • Manage the wholesale order workflow across Leaf Trade, the DMT utility, Epicor, and Wherefour, ensuring accuracy, compliance, and timely processing.
    • Receive and process orders submitted via menus, validating completeness, SKU accuracy, and alignment with current inventory.
    • Use the DMT utility to identify duplicates, SKU conflicts, and inventory discrepancies prior to system upload.
    • Upload validated orders into Epicor and monitor downstream synchronization into Wherefour, resolving sync errors or data mismatches.
    • Enforce inventory visibility rules in Leaf Trade to uphold FIFO and prevent premature SKU exposure.
    • Troubleshoot system issues and maintain checks and balances throughout the order lifecycle to ensure operational integrity.
    • Collaborate with Territory Sales Managers to clarify order details and resolve discrepancies.
    • Build and maintain menus for customers and TSMs.
    • Identify opportunities to streamline workflows and improve system efficiency
    • Sales Enablement & Communication
    • Send stockout notifications to wholesale customers and provide replacement options using updated menus.
    • Build, update, and distribute menus for Territory Sales Managers based on current inventory and product availability.
    • Communicate proactively with TSMs regarding order discrepancies, inventory constraints, and required corrections.
    • Provide operational insights and system guidance to support TSMs in customer interactions.
    • Coordinate with Sales to ensure orders meet internal standards and compliance requirements.
    • Identify sales opportunities through inventory trends and stockout patterns.
    • Maintain clear, professional communication with internal and external stakeholders.
Qualifications & Requirements
    • Bachelor's degree preferred but not required; equivalent experience in operations, supply chain, or sales support considered.
    • Proven experience in order operations, sales operations, or a similar accuracy critical administrative function.
    • Strong understanding of multi system workflows and the ability to manage data across platforms such as Leaf Trade, Epicor, Wherefour, and Excel based utilities.
    • Advanced proficiency in Microsoft Excel, including working with structured templates, data validation, and accuracy checks.
    • Experience enforcing operational rules such as FIFO, account holds, and inventory visibility standards.
    • Strong written and verbal communication skills, with the ability to collaborate effectively with Sales, Inventory, and Fulfillment teams.
    • High attention to detail with the ability to identify discrepancies, resolve errors, and maintain accuracy across large volumes of data.
    • Ability to operate autonomously, exercise sound judgment, and escalate issues appropriately.
    • Comfortable working in a fast paced, dynamic environment with shifting priorities and tight deadlines.
    • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams).
