Administrative Coordinator – Kingman Police Department

We’re seeking an Administrative Coordinator to support the Office of the Chief of Police and the Police Department’s executive leadership team. The role provides high‑level administrative, coordination, and liaison support in a fast‑paced law enforcement environment where discretion, organization, and professionalism are essential.

Key Responsibilities
  • Provide high‑level administrative support to the Chief of Police (30%) – manage calendars, schedule meetings, prepare, proofread and organize correspondence, reports, and official documents.
  • Organize and coordinate department training sessions, track certifications, and maintain compliance records with AZPOST training standards (15%).
  • Serve as primary liaison between the Chief and internal leadership, other law‑enforcement agencies, City departments, and state and local officials (15%).
  • Coordinate travel arrangements for the Chief and department staff, including transportation, lodging, itineraries, per diem, and reimbursements (10%).
  • Assist with police recruitment and hiring processes – coordinate job postings, interviews, candidate communication, and recruitment records (10%).
  • Support community outreach, projects, and departmental operations, including event coordination, procurement activities, and special projects (10%).
  • Serve as liaison to the Arizona Secretary of State for notary services, maintain accurate records of notarized documents (10%).
Qualifications
  • Bachelor’s degree in Business, Public Administration, or a closely related field and two (2) or more years of progressively responsible experience providing complex administrative support; or high school diploma or GED with some related college coursework and six (6) years of progressively responsible experience providing complex administrative support; or any equivalent combination of education, training, and experience that demonstrates the ability to perform the work.
  • Experience providing high‑level administrative and management support, preferably in a similar role or department.
  • Valid Arizona driver’s license or ability to obtain within six (6) months of hire.
  • Ability to occasionally attend evening meetings and weekend events.
  • Strong written and verbal communication skills.
  • Exceptional organizational, multitasking, and time‑management skills.
