Job PurposeThis role exists to strengthen the financial operations of WSI while growing into a broader systems and process contributor. You will start in the transactional work - because that is where you learn the business - and expand from there. The first measure of success is accuracy: transactions posted without error, every time. Everything else is built on that foundation. If you want a role that looks the same in year three as it does in year one, this is not it.
Key ResponsibilitiesAccounts Receivable and Invoicing
- Prepare and deliver customer invoices accurately and on time
- Submit invoices through customer portal accounts
- Monitor accounts receivable aging and surface issues proactively to the Controller
- Enter vendor and provider invoices into Hedberg ERP with accuracy and timeliness
- Assist with SAP Concur expense entry and reconciliation to Hedberg
- Assist with credit card statement reconciliation and corresponding journal entry
- Complete credit applications for new vendor accounts
- Respond to customer and vendor reference and information requests
- Develop and maintain Customer Information Sheets and Vendor Information Sheets
- Monitor vendor master data for accuracy and completeness
- Build deep working proficiency in Hedberg ERP, SAP Concur, and the Microsoft 365 ecosystem
- Learn every system WSI uses and actively push to use them better
- Use AI tools - including large language models and Microsoft Copilot - as standard work instruments
- Document processes with enough precision that they can be improved, automated, or transferred
- Support implementation of business process changes and system enhancements as directed
Technical Skills
- Proficiency in Microsoft Excel and Microsoft 365
- Comfort learning new software quickly and without direction - this is an expectation, not a preference
- Genuine interest in AI tools and how they apply to finance and operations work
- Demonstrated accuracy and attention to detail - you catch your own errors before anyone else does
- Ability to manage multiple priorities and meet deadlines in a lean environment
- Clear written and verbal communication
- Willingness to do the work that needs doing, regardless of whether it is on the job description
Education:
Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field. Dedicated accounting coursework is preferred.
Experience:
Some professional experience in an accounting, bookkeeping, or finance support role. Recent graduates with strong academic performance and demonstrated systems aptitude will be considered.
Physical Requirements:
Standard office environment. Occasional travel between WSI locations may be required.
