Description

The Business Organization Specialist is crucial for organizational support. The ideal candidate is a proactive, positive influencer with the ability to thrive in a fast‑paced, team‑oriented environment. Flexibility, adaptability, and creative thinking are essential for handling time‑sensitive situations and changing priorities. Discretion and strong interpersonal skills are required to collaborate with individuals at all levels, both within and outside Eastman.

Responsibilities
  • Assist the VP of Corporate Strategy and Commercial Excellence with anticipated needs.
  • Develop a working knowledge of Eastman organizations, operations and businesses to contribute meaningfully to the team and our work.
  • Maintain calendar by arranging appointments, scheduling meetings, scheduling travel, and resolving conflicts in a prompt, courteous, and professional manner.
  • Organize meetings, teleconferences, group meetings and workshops using teleconferencing and video conferencing equipment and applications.
  • Organize reinforcement or team building events such as lunches, celebrations and activities.
  • Assist in developing presentations and communication strategies, marketing materials, project plans, and metrics to sustain performance.
  • Manage electronic and paper files in an organized manner.
  • Facilitate, plan, and support workshops and department meetings using any necessary teleconferencing and video conferencing equipment and applications; meetings can include regions outside the U.S. and require special consideration to accommodate time differences.
  • Capture and communicate action items and routinely share progress relative to plan. Maintain follow‑up system for daily meetings, workshops, agendas, deadlines, etc.
  • Provide oversight and support to stakeholders on critical initiatives to ensure deadlines are successfully met and keep team informed.
  • Maintain and assemble background information for meetings.
  • Receive and screen incoming telephone calls and generate outgoing calls as situations demand.
  • Process Outlook mail, post meetings, identify and handle action items and due dates, and respond for Vice President as appropriate.
  • Make travel arrangements, detailed itineraries and trip files for international and domestic travel.
  • Welcome guests and make necessary arrangements for visitor passes, meeting rooms, working meals and refreshments, in addition to arranging escorts for visitors as needed.
  • Prepare budget analysis and/or other reports by collecting and analyzing data.
Qualifications
  • High school diploma or equivalent required.
  • Minimum of 3 years of administrative experience preferred.
  • Excellent skills in Microsoft Office (Outlook, Word, Excel, SharePoint, PowerPoint, Teams) required.
  • Experience with Workforce highly preferred.
  • Ability to maintain a high level of confidentiality.
  • Adaptable, versatile and able to prioritize and complete multiple tasks or projects simultaneously in a deadline‑driven, fast‑paced environment.
  • Strong planning and organizational skills with a service‑oriented and patient mindset.
  • Ability to develop a proficient knowledge of Eastman administrative procedures and systems.
  • Excellent written and verbal communication skills.
