Position Summary:

The Shop Operations Coordinator works closely with the Shop Manager to support day-to-day shop operations and ensure materials, deliveries, supply needs, and field requests are organized and addressed efficiently. This position is the Shop Manager's primary support and backup for routine shop operations.

The role combines hands-on shop and material responsibilities with computer-based coordination, communication, purchasing support, inventory, and follow-up. The Shop Operations Coordinator serves as an important link between the shop, field personnel, office staff, and outside vendors, helping ensure the right materials and information are where they need to be when they are needed.

When the Shop Manager is out of the shop, this position serves as the primary point of contact for routine shop/warehouse, material, and delivery matters and helps ensure established priorities and processes continue to be followed.

Essential Duties & Responsibilities:
  • Support the Shop Manager with the day-to-day coordination and organization of shop and material-related activities.
  • Organize and prioritize material needs based on urgency and upcoming project requirements.
  • Monitor communications and coordinate job dates, deliveries, supply house pickups, and job clean-outs.
  • Receive, identify, and organize incoming deliveries and ensure materials are properly associated with the appropriate job.
  • Receive and process material requests from field personnel and coordinate orders and pickups as needed.
  • Research and source specialty or hard-to-find parts and materials in coordination with the Shop Manager.
  • Follow up on outstanding material orders and deliveries and investigate missing or delayed materials.
  • Maintain inventory of commonly used shop and field materials and coordinate replenishment with the Procurement Clerk.
  • Maintain shop tracking systems.
  • Operate a forklift and other material-handling equipment as needed.
  • Communicate and work effectively with the Shop Manager, Procurement Clerk, Project Managers, Field Superintendents, Field Technicians, supply houses, and vendors.
  • Identify issues that may affect field operations and bring them to the Shop Manager for resolution.
  • Assist with additional shop operations and administrative responsibilities as assigned to support evolving business needs.
Required Skills &

Qualifications:
  • Strong organizational and time-management skills with the ability to prioritize multiple demands.
  • Ability to work effectively in a fast-paced, interruption-driven shop/warehouse environment.
  • Strong attention to detail and accuracy, particularly with material lists, orders, quantities, and dates.
  • Comfortable using computers, email, spreadsheets, purchasing/PO systems, and communication platforms.
  • Excellent communication and interpersonal skills with the ability to work effectively with a variety of personalities.
  • Strong problem-solving skills and resourcefulness when sourcing materials or resolving issues.
  • Ability to work independently, take initiative, and follow assignments through to completion.
  • Strong mathematical and basic purchasing skills, including the ability to compare pricing and identify reasonable alternatives.
  • Basic understanding of shipping, receiving inventory, and material-handling processes.
  • Personable and professional when working with vendors, supply houses, and company personnel.
  • Reliable, punctual, responsive, and accountable.
  • Self-motivated, flexible, and willing to take on new responsibilities as business needs evolve.
  • Strong work ethic and sense of ownership.
  • Ability to safely operate or learn to operate a forklift, pallet jack, and other material-handling equipment.
  • Positive attitude.
  • Flexibility to work overtime when necessary, typically 30-60 minutes approximately two or three times per week.
