Feed Yard Data Coordinator – Kingsville, TX

Job Overview

Responsible for recordkeeping, data entry, and communication activities that keep feed yard operations running smoothly. This includes compiling and organizing cattle and feed records, distributing memos, and fielding inquiries from customers, haulers, and clients.

Key Responsibilities
  • Enter and reconcile daily cattle inventory, receive and ship data.
  • Log and verify feed tickets, weigh tickets, and lot records for accuracy.
  • Maintain accurate pen and lot data files for cattle owners and feed yard management.
  • Log and maintain data entry for large commodity inventories such as corn and milo, and prepare related inventory reports.
  • Prepare daily, weekly, and monthly feed yard and cattle management reports, as well as related accounting reports.
  • Create documents, maintain databases, and send memos and emails.
  • Process and pay vendor and feed invoices in a timely manner.
  • Prepare and send monthly account statements and invoices to customers.
  • Track accounts receivable balances and follow up on outstanding payments.
  • Process invoices.
  • Manage digital document filing, including encrypted documents and email correspondence.
  • Collect, file, and organize office documents such as reports and confidential records.
  • Transcribe or take notes during meetings and write minutes, memos, and agendas.
  • Make logistical arrangements for meetings or conferences, including booking travel, reservations, or rentals.
  • Monitor office inventory and order supplies.
  • Sort and deliver incoming mail and collect and send outgoing mail.
  • Run errands and make deliveries around the office or to external parties.
  • Package and ship company materials.
  • Answer the phone at a reception desk or specific department and transfer calls as needed.
Required Qualifications
  • Excellent communication abilities, including speaking, writing and active listening.
  • Effective organization and time‑management skills such as prioritization, multitasking, and planning.
  • Strong customer service skills with a personable and positive attitude.
  • High typing speed and accuracy.
  • Basic accounting and bookkeeping skills, including experience with invoicing, reconciliation, and accounts payable/receivable processes.
  • Good computer skills with basic troubleshooting and proficiency in word processing, spreadsheets, presentations, and email.
  • Problem‑solving, critical thinking, and decision‑making abilities.
  • Ability to work independently with little to no supervision.
  • High attention to detail.
  • Minimum high school diploma or equivalent.
  • Valid driver’s license in good standing, with the ability to be an approved driver for the company and to safely operate vehicles.
