Receptionist
The receptionist sets the mood for the office. He/She should provide a pleasant working environment to the students, parents, co-worker, and visitors every day. Provide customer service in a friendly and cordial manner to students, parents, co-workers, and visitors as needed on a daily basis and in a punctual manner.
Specific
Duties and Responsibilities:
- Provide customer service to students, parents, co-workers, and visitors on daily basis
- Answer all incoming calls, take messages, and/or transfer to appropriate personnel
- Help personnel send faxes and distribute incoming faxes as needed
- Prepare and make daily announcements over intercom and email a copy to teachers
- Sort incoming mail and place in appropriate boxes in mailroom
- Assist the principal and assistant principals as needed
- Help assistant principal update and type Faculty Handbook
- Send and assist school personnel in sending NTI-Connect Ed phone messages to students and parents as needed
- Keep NTI-Connect Ed phone lists updated for school personnel
- Keep school calendar of events recorded and updated on school calendar and principal's calendar
- Set up appointments for principal
- Get students, parents, and visitors signed in and out as needed
- Distribute "Student Transfer Request" forms to out-of-district and out-of-county students. Upon their return, collect necessary data (attendance, academic, discipline profiles) and provide to principal for his/her decision to recommend or deny. Send all forms to central office for approval and when they are returned, keep our copy on file.
- Request new nameplates from maintenance for incoming teachers as needed
- Type and send all maintenance work orders to maintenance as requested by administrators and teachers
- Type and send all Inventory Requests as requested by head custodian
- Get information for marquee sign
- Keep current list of "Debts Owed" for all students
- Check incoming UPS/Fed Ex deliveries and distribute accordingly
- Prepare spreadsheet listing all teachers, room numbers, and phone numbers
- Prepare (update) Fire Drill & Tornado Drill maps
- Assist with monthly fire drills and annual tornado drill
- Keep up with all Permit Letters approved by Central Office so we'll know who has permission to visit our campus
Additional Job Functions or Assigned Tasks:
- Serve on school committees as assigned
Minimum Training and
Experience:
- High school education required or secretarial experience
- Two-year business college (preferred)
Minimum Qualifications or Standards Required to Perform
Essential Job Functions:
- Good knowledge of Word processing skills/spreadsheets
- Ability to sit, walk, stand, lift, and push
- Ability to multi-task
- Ability to work under pressure
Other Requirements:
- Possess good understanding of English grammar and punctuation rules
- Maintain an acceptable attendance record and be punctual
- Dress appropriately for the job
