Admissions Specialist for Career and College Promise (CCP) and Elementary Education Residency Licensure (EERLC)
The Admissions Specialist for Career and College Promise (CCP) and Elementary Education Residency Licensure (EERLC) is responsible for processing applications and supporting prospective and admitted students through the admissions process in accordance with college policies and procedures. This position provides student-centered service, maintains accurate records in institutional systems, and supports standard and specialized admissions workflows, including designated program-specific processes, such as Career and College Promise or Elementary Education Residency Licensure, as assigned.
Qualifications- Associate degree from an institution accredited by a federally recognized accreditor is required; bachelor's degree preferred
- Experience using a Customer Relationship Management (CRM) system or student information system to support admissions or student services processes preferred
- Proficiency with Microsoft Office and web-based enterprise systems to manage records, communications, and workflows
- Strong written and verbal communication skills with the ability to provide clear, accurate information to students and campus partners
- Demonstrated attention to detail and ability to maintain accurate records across multiple systems
- Strong organizational and problem-solving skills in a fast-paced, deadline-driven environment
- Ability to maintain a high level of confidentiality and comply with FERPA and institutional policies
- Working knowledge of the Colleague system preferred
- Office suite environment
- Frequently sitting at a desk or workstation using a telephone, computer, keyboard, and mouse; some standing and walking
- Frequent verbal interaction with students
The Admissions Specialist performs a variety of duties in support of the College's admissions and enrollment processes, including but not limited to the following:
- Assist applicants with Residency Determination Service (RDS) questions and perform daily residency file uploads to ensure the most current residency status is reflected for applicants
- Monitor and follow up on pending residency determinations and contact applicants to resolve errors or discrepancies related to residency status
- Process changes of major requests and additions of secondary majors in accordance with institutional procedures
- Assign academic advisors to applicants and students as part of the admissions process
- Track required student records and documentation throughout the application process to ensure completeness and accuracy
- Communicate with applicants using the Admissions CRM (Element
451), as well as through phone calls, virtual meetings, walk-in interactions, and email, maintaining a positive, student-centered customer service approach - Enter and maintain accurate applicant and student information in the Colleague system with a high level of attention to detail
- Receive, review, and process applications and supporting documentation in accordance with college policies and procedures
- Provide in-person and telephone assistance to students, applicants, and visitors seeking admissions-related information
- Apply and follow federal, state, and institutional compliance requirements related to admissions processes, including FERPA, Leon's Law, and Professional Licensure Disclosure, and accurately document required acknowledgements and information in institutional systems
- Maintain confidentiality and security of student information across all systems and communication methods
- Follow established admissions workflows, standard operating procedures, and compliance guidance provided by Admissions leadership
- Identify and report data discrepancies, documentation issues, or potential compliance concerns to Admissions leadership in a timely manner
- Support standard and specialized admissions workflows, including assisting applicants to specialized programs such as Career & College Promise or Elementary Education Residency Licensure as part of a cross-trained admissions team
- Coordinate with other College departments to support admissions processing and enrollment-related needs
- Other duties and responsibilities as assigned by the Director of Admissions and Enrollment Management and Dean of Student Services
- Greet students and visitors, and answer phones in a timely and professional manner
