Federal Programs Budget Analyst
Performs administrative and office support activities for the Federal Programs Departments. Assists the Director of Federal Programs in preparing and maintaining all federal budgets under the director's purview. Duties include bookkeeping, data management, general clerical, receptionist and project-based work. Reports to the Director of Federal Programs.
Specific
Duties and Responsibilities:
- Maintain departmental records; record transactions and data in journals, ledgers, logs and on special forms
- Maintain contact with departmental personnel regarding office activities and deadlines
- Assist Department Director and Principals on general fiscal and budgetary matters throughout the year; assist finance with journal entries to the accounting system; establish new account codes
- Monitor school and department's expenditures, ensuring compliance with established policies and procedures and adherence to budget limitations; review availability of funds for requested purchases, and evaluate requests for interdepartmental fund transfers and budget amendments; prepare reports for department detailing impact on budget and recommendations
- Receive and analyze annual budget request from schools
- Develop and disseminate monthly and quarterly spending updates to schools and departments for each active grant
- Prepare budget transfers and amendments for federal funds and coordinate the approval of each
- Assist in preparation and execution of federal grant applications
- Assist in preparation for federal program monitoring of each active grant by organizing required documents and assisting departments and schools with submitting required information
- Review and verify purchase requisitions to ensure that appropriate budget codes and acquisition procedures are followed
- Enter data to generate purchase orders and to encumber necessary funds, and verifies invoices for payment
- Maintain a multi-fund bookkeeping system using a computerized accounting program for federal, and state budgets
- Assist with the programmatic and fiscal aspects of federal, and state programs
- Other duties as assigned by Director of Federal Programs
Additional Job Functions or Assigned Tasks:
- Assist and maintain records Pre-K, McKinney Vento, Neglected & Delinquent, and Foster Care services
- Record and file data for the aforementioned Title I Set Asides
- Serve on Federal Programs handbook committee
Minimum Training and
Experience:
- Associate's degree required, Bachelor's degree preferred and at least two years office experience required
Minimum Qualifications or Standards Required to Perform
Essential Job Functions:
- Ability to communicate with good oral and written skills
- Ability to read a variety of correspondence, reports, handbooks, forms, lists, etc.
- Ability to prepare correspondence, simple reports, forms, etc., using prescribed format
- Ability to record and deliver information, explain procedures, follow oral and written instructions, communicate effectively and efficiently in standard English
Other Requirements:
- Maintain an acceptable attendance record and be punctual
- Ability to handle a variety of office machines, etc.
- Ability to promote good relationships internally and with the public
- Working knowledge of accounting techniques and procedures
