Position Title:
Regulatory & Licensing Coordinator
Base Salary: $65,000 to $90,500 annually DOE

The Regulatory & Licensing Coordinator will support Ziply Fiber’s Legal and Regulatory team, with a primary focus on managing the company’s municipal and state licensing program. This role is responsible for independently identifying and obtaining required licenses, tracking renewal deadlines, and helping ensure ongoing compliance across multiple jurisdictions. In addition, this position provides hands‑on legal administrative support and ownership of key legal operations functions, including project management, basic contract support (routing and signatures), subpoena routing, litigation management, compliance calendaring, and reporting.
The ideal candidate is highly organized, systems‑minded, and detail‑oriented, with the ability to manage multiple projects with shifting priorities and collaborate across departments to streamline processes, improve data quality, and help the team deliver timely, business‑focused legal services.

Municipal and State Licensing- Independently research and determine licensing requirements for municipal and state jurisdictions; prepare, submit, and track license applications through approval.
- Manage the full lifecycle of existing licenses, including maintaining a comprehensive license database, monitoring renewal deadlines, and ensuring timely renewals to maintain compliance.
- Support entity and subsidiary records and annual filings.
- Process incoming subpoenas and legal requests; coordinate with internal stakeholders to gather responsive documents and ensure timely responses.
- Maintain and update the litigation tracker to ensure accurate status reporting and visibility into pending matters.
- Assist with matter intake and holds; coordinate discovery support and document collection; process subpoenas and responses; and maintain organized, auditable files.
- Handle document processing, electronic signatures, and contract tracking; ensure timely routing, execution, and escalation.
- Format and review letters, contracts and policies.
- Maintain organized business files and records in accordance with company retention policies; support audits, reporting, and retrieval of executed agreements and documents as needed.
- Review and process invoices and expense reports for the Legal, Regulatory, and External Affairs team.
- Coordinate travel arrangements and itineraries for team members, including booking flights, accommodations, and ground transportation.
- Manage calendars and coordinate meetings, including scheduling and organizing meeting logistics.
- Monitor the Legal inbox; triage, route, and respond to incoming inquiries in a timely manner.
