BASIC FUNCTION

The purpose of this position is to provide administrative, clerical, and customer service support to an office, department, or school. The incumbent performs a variety of routine administrative functions in accordance with established policies and procedures. Work is performed under general supervision and is reviewed for accuracy, completeness, and compliance with departmental and university standards. Complex or unusual issues are referred to the supervisor.

This position may report to a department supervisor, manager, assistant/associate director, or assistant/associate dean.

NATURE AND SCOPE

Internal contacts may include university administrators, faculty, staff, students, and student organizations. External contacts may include visitors, vendors, consultants, alumni, applicants, and members of the general public. The incumbent is expected to provide professional, courteous, and responsive customer service while maintaining confidentiality and exercising sound judgment.

Principal Accountabilities
  • Provide administrative and customer service support in person, by telephone, email, and other electronic communication methods.
  • Respond to routine inquiries and refer complex or sensitive matters to the appropriate individual.
  • Review records, forms, reports, and related documents for completeness, accuracy, and compliance with established procedures.
  • Maintain electronic and paper files, records, databases, and departmental documentation.
  • Utilize university systems and standard office software applications to support departmental operations and reporting requirements.
  • Coordinate calendars, schedule appointments, and assist with meeting planning and logistics.
  • Arrange meeting space, virtual meeting platforms, equipment, and related services as directed.
  • Prepare correspondence, reports, presentations, spreadsheets, meeting materials, and other routine business documents.
  • Collect, compile, and organize data for reports, projects, and departmental activities.
  • Process routine work orders, purchase requests, supply orders, reimbursements, and other administrative transactions in accordance with established procedures.
  • Receive, distribute, and track incoming and outgoing correspondence and departmental communications.
  • Assist visitors, applicants, students, faculty, staff, and members of the public by providing information and directing them to appropriate resources.
  • Operate and maintain standard office equipment and coordinate service requests as needed.
  • Support departmental events, programs, and special projects.
  • Perform other duties as assigned.
CORE COMPETENCIES
  • Proficiency in the use of standard office equipment and productivity software.
  • Working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and related business applications.
