We're looking for a sharp, detail-oriented person who thrives at the intersection of finance, operations, and technology. This is not a siloed role — you'll touch nearly every part of how the business runs, from managing customer renewals and supporting two founders to helping shape our product roadmap. • Executive Support — provide direct support to the CEO and Founder/Chairman including calendar management, meeting preparation, travel coordination, draft correspondence, and ensuring follow-through on key priorities and action items
• Accounts Receivable — manage invoicing and collections across two companies (Net-Inspect LLC and R&D Center Autonomous Machining LLC); interface directly with customers to process subscription renewals, track outstanding balances, and ensure timely payment
• Accounts Payable — manage vendor payments, expense reconciliation, and bill processing across both companies in coordination with our bookkeeper
• Scheduling — coordinate internal calendars, customer implementation sessions, and team workflows
• Process Improvement — identify bottlenecks, document workflows, and propose and implement improvements — leveraging AI tools and automation wherever possible
• Software Implementations — support rollout of internal tools; serve as internal point of contact for new systems and integrations
• Software Design & Testing — participate in product design discussions, contribute to wireframes in Figma, document requirements, and execute QA testing on new Net-Inspect features before release
• Customer Advisory Board — help coordinate our Customer Advisory Board including scheduling, agenda preparation, follow-up tracking, and synthesizing customer feedback into actionable input for the product team
• Office & Team Coordination — keep the office running smoothly, including new hire onboarding logistics, scheduling team lunches, coordinating catering, managing supplies, and handling the day-to-day details that let everyone else stay focused
• Ad hoc projects — we're a growing company; you'll be pulled into whatever needs a sharp mind

• 1–3 years of experience in operations, finance, executive support, or a business analyst role — or a recent graduate with strong internship experience and a clear track record of initiative
• Genuine enthusiasm for AI and emerging technology — you actively use AI tools in your own work and are always looking for smarter ways to get things done
• Comfortable in spreadsheets and quick to learn new software platforms
• Strong written communication — you'll be corresponding with customers, vendors, and on behalf of leadership
• Process-oriented: you notice when something is inefficient and you do something about it
• Comfortable managing multiple priorities across more than one business entity
• High degree of discretion — you'll have visibility into sensitive business information and executive communications
• Curiosity about software — you don't need to code, but you think like a user and can articulate what's working and what isn't
• Comfortable facilitating or supporting meetings with customers and stakeholders
• Able to synthesize feedback from multiple sources into clear, organized summaries
• Familiarity with modern business tools — experience with any of the following is a plus:
  Figma, Jira, Hub Spot, Quick Books, or similar platforms
