Job Summary

The City of Kirkland is recruiting a Program Assistant for the Kirkland Teen Union Building (KTUB). KTUB provides after‑school drop‑in activities, on‑site behavioral health services through Youth Eastside Services (YES), art and music programs by 4 Tomorrow, and recreation programs for teens. The facility also offers recreation for adults and preschoolers during the day. The Program Assistant supports facility operations and recreation programs, including drop‑in activities and events, and assists with customer service, marketing, outreach, scheduling, and data entry.

Responsibilities
  • Provide information and respond to inquiries; staff the front office and offer customer service to participants, staff, and the public.
  • Perform registration procedures: enroll classes, accept payments, maintain wait lists, process transfers, issue class adjustments and scholarships, and reconcile daily receipts of cash, checks, and credit card payments.
  • Manage facility rentals, calculate and process payments, handle deposits and refunds, and oversee rental staff scheduling.
  • Assist with data collection, reporting, record‑keeping, expense and revenue tracking, program evaluation, new participant outreach, and quality assurance.
  • Administer administrative platforms such as Munis, TRIM, Adobe Sign, Lucity, and similar programs, creating, entering, and processing contracts and agreements.
  • Coordinate training and scheduling for staff, volunteers, and interns; provide emergency backup staffing as needed.
  • Help organize and produce department events (e.g., Green Kirkland Program, community building events).
  • Publicize and promote programs, prepare program brochures, and maintain City web pages.
  • Inventory, purchase, maintain, and organize program supplies and equipment.
Peripheral Duties
  • Perform functions assigned in the City’s emergency response plan in the event of an emergency.
Knowledge,

Skills and Abilities
  • Strong oral and written communication skills; ability to work effectively with staff, volunteers, and the public and manage multiple tasks.
  • Effective communication, both in person and on the telephone.
  • Computer skills:
    Microsoft Office, fax, copier, calculator, and multi‑line telephone system.
  • Knowledge of registration software preferred.
  • Knowledge of basic office procedures.
  • Proficiency with Microsoft Word, Excel, and Publisher.
  • Basic mathematics and bookkeeping principles.
  • Ability to receive and receipting payments.
  • Knowledge of customer service practices.
  • Experience working with volunteers and the public.
  • Flexibility to work with people of all ages and abilities and adapt to changing assignments.
Qualifications
  • Education:

    High School Graduate or G.E.D.
  • Experience:

    2 years of customer service; 1 year of administrative support in recreation, environmental, social, leisure, or education services; 6 months with volunteers, youth, or older adults.
  • Alternative combination of education and experience may satisfy requirements.
  • Valid Washington State driver’s license.
  • CPR/First Aid certification within 6 months of hire.
  • Preferred: 2 years of cashiering or bookkeeping experience.
Physical Demands and Working Environment

Work is primarily in an office or community center; may involve indoor and outdoor settings in all weather. May require nights, weekends, and holidays. Must sit for long periods and be able to lift and carry up to 50 pounds. Green Kirkland Partnership program participants may encounter foot hazards such as falling objects, rolling objects, piercing/cutting injuries, or electrical hazards.
