As a Front Desk Receptionist, you will be responsible for creating a pleasant first experience within the community. The position will welcome and screen all visitors, directing them to the appropriate locations, and maintaining the safety and security of the entrance. You will be asked to assist the Executive Team in other duties throughout the day along with answering phone calls and emails.
Also responsible for presenting a professional image by following established dress code/uniform requirements, personal hygiene standards, and through pleasant and efficient interaction.
- Creates a positive first impression with every resident, family, and other interaction whether in person or over the telephone.
- Greets guests, whether in person or on the telephone, with a smile and a genuine interest to provide assistance.
- Makes eye contact and acknowledges every person who enters the community, regardless of other duties being performed.
- Answers telephone in a friendly, professional, caring, and timely manner using appropriate telephone etiquette, as established by the company.
- Routes incoming calls accurately to appropriate departments or colleagues.
- Greets, directs, and answers questions for visitors, vendors and residents in a professional, friendly, and hospitable manner.
- Maintains a sign in/sign out log at the front desk for all residents leaving and/or returning to the community, and the visitor log for all guests and vendors.
- Assists in the ordering, receiving, stocking, and distribution of office supplies.
- Makes copies, collates documents, sends/receives, and distributes faxes.
- Records maintenance requests from residents and files work order forms.
- Tracks RSVP for various marketing functions.
- Schedules Transportation for residents.
- Manages package deliveries, sorts mail when necessary.
- Manages the operation and maintenance of all front office equipment and communication devices.
- Engages residents and connects with them in a genuine, compassionate, and memorable way.
- Honors each resident's personal rights.
- Performs other duties as assigned.
- Keeps front desk area clean and orderly to present a well-organized, professional, and welcoming environment.
- Performs projects and duties as assigned by supervisor.
- Engages in continuous learning and development opportunities through attendance and participation in in-service, educational seminars, staff meetings, and other learning experiences.

Language AbilityAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math AbilityAbility to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning AbilityAbility to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer SkillsTo perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, human resource systems, and Microsoft Outlook.
Education/ExperienceHigh school diploma or general education degree (GED); and one to two years related experience and/or training; or equivalent combination of education and experience.
Knowledge, Skills, and Other Abilities- Previous experience working in a front office environment

- Excellent interpersonal, organizational and communication skills
- Ability to effectively interact and communicate with the seniors
- Maintain the confidentiality of residents and employees
- Working knowledge of computers, including Microsoft Word and Excel
- Must have the ability to read, write and follow oral and written direction in the English language at a level adequate to perform the job duties
- Comply with all rules and regulations regarding confidentiality and privacy of team member and resident information
