POSITION

DESCRIPTION:

This position will be responsible for providing support to the Director of Guest Services and Operations departments. This person must be knowledgeable and diplomatic in their dealings with other departments, vendors, owners, guests and corporate partners.

ESSENTIAL DUTIES AND TASKS:

1. Provides administrative support to the Director of Guest Services and department leadership team, including but not limited to payroll processing, procurement and AR/AP. Also responsible for creating, compiling, updating/distributing various weekly and monthly reports such as RCI, Medallia, Security reports, etc.

2. Prepares PowerPoint presentations spreadsheets, and graphs. Assists in audits, reconciles shift report, and prepares monthly bank deposits.

3. Schedule meetings, assist with coordinating department events, schedule inspections for various leaders, as well as take meeting notes, minutes and prepare agendas.

4. Monitor/maintain inventory of supplies, equipment, uniforms, etc.

SUPERVISORY RESPONSIBILITIES:

EDUCATION and/or

EXPERIENCE:
  • Previous administrative experience required.
  • Customer Service and/or hospitality experience a plus.
CERTIFICATES, LICENSES, REGISTRATIONS:
  • Any certifications a plus.
QUALIFICATIONS:
  • Must have excellent organizational skills and be detail oriented.
  • High degree of confidentiality.
  • Must possess strong verbal and written communication skills.
  • Proficiency with Microsoft Office to include Word, Excel, PowerPoint, and Outlook.
  • Ability to work in a fast paced environment.

PHYSICAL DEMANDS:

While performing the duties of this job the employee may be required to sit or stand for extended periods of time. Will be required to bend, twist, reach, push, pull, and operate office machinery. Must be able to lift up to thirty pounds. Specific work assignments may change without notice. WORKING CONDITIONS:

The majority of work will be performed in a climate-controlled environment, but may be exposed to inclement weather and varying degrees of temperature on occasion.

WORK SCHEDULE/

HOURS:

Schedules will vary depending on business needs, and may entail working nights, weekends and holidays. Must be flexible to work outside of departmental operating hours. Typical schedule is M-F 8AM-4:30PM
