Position: Commercial Coordinator - Keolis Grand River - 18 months contract
Location: WaterlooThe Commercial Coordinator manages end-to-end property and liability insurance claims, oversees the employee uniform program across multiple suppliers, and supports procurement with quotes, purchase orders, inventory and supplier communications. Other cross functional support as needed.

Insurance Claim Coordination
Serve as the primary contact for third-party adjusters and insurers regarding all property and liability claims form initial incident through final submission.Notify and communicate with relevant parties (internal stakeholders, third parties, insurers)Collect and verify incident details; coordinate and maintain all supporting documentation.Compile and track all costs and expenses; submit accurate claim packages to insurers on time.Work with Accident Services to obtain motor vehicle accident reports.Escalate and obtain approvals as required.Produce regular summary reports on claims status and financial impacts.Monitor claim status, follow up to resolution, and maintain up-to-date tracker.Other duties, as required.Uniform Program
Serve as the primary point of contact for employees regarding uniform requests and issues.Maintain and update the uniform tracking spreadsheet (orders, allocations, sizes, returns, inventory)Ensure accurate pricing, verify invoices against agreed rates, and resolve discrepancies.Coordinate with suppliers to ensure delivery and quality standards.Troubleshoot and resolve uniform-related issues promptly, escalate as needed.Procurement
Support procurement specialist in acquiring competitive quotes from approved and prospective suppliers.Issue purchase orders accurately and in a timely manner, ensuring proper authorization and documentation.Liaise with suppliers to clarify product specifications, delivery schedules and pricing.Coordinate with internal stakeholders to gather requirements and provide updates.Facilitate new vendor onboarding, ensure adherence to procedures and internal document controlsAd Hoc
Support the Business Analyst role, strategic projects and cross-functional teams as needed.Other duties, as required.Working Conditions
Regular interaction with vendors, external stakeholders, directors and managers.Working Hours
Based upon an average of 40 hours per weekday shift, Monday to FridayThis position is hybrid changes to the hybrid schedule are up to the discretion of Keolis Grand River LP.Overtime as required.
