OpportunityThis position will be responsible for providing administrative and coordination support to project teams to ensure efficient project operations, documentation, and reporting.
Key ResponsibilitiesResponsibilities and essential job functions include, but are not limited to, the following:
- Provide administrative and operational reports as requested by the team.
- Manage office supply inventory and coordinate purchases to ensure uninterrupted office operations.
- Compile, copy, sort, and file records related to office activities, business transactions, HSE, and other project activities.
- Record, prepare, and distribute meeting minutes and transcripts in a timely manner.
- Create, format, and maintain documents in accordance with company policies and standards.
- Support the accounting team by collecting receipts, tracking expenses, and assisting with invoicing processes.
- Maintain organized filing systems and conduct periodic reviews to ensure records are current, accurate, and compliant.
- Coordinate travel and accommodation arrangements for incoming and outgoing team members.
- Ensure orientation and onboarding documentation is completed and kept up to date; notify Managers and Supervisors of any changes or updates.
- Prepare new hire packages, greet new employees upon arrival, and support corporate orientation and onboarding processes.
- Maintain a safe and healthy work environment by adhering to all Health, Safety, and Environmental (HSE) regulations and procedures.
- Provide administrative support to project teams by responding to inquiries and completing assigned tasks as required.
- Travel as needed to support projects.
- Perform additional duties and responsibilities as assigned.
- Diploma or degree in Business Administration or a related field.
- 2+ years of experience in an administrative or project support role.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational, communication, and time-management skills.
- Experience with document control, expense tracking, and invoicing support.
- Ability to manage multiple tasks with attention to detail.
