JOB SUMMARY

The K-CET Assistant Director position is a pivotal role critical to the success and efficient operation of the Adult Basic Skills Program. This position provides essential support to the K-CET Director in managing key operational aspects, including curriculum support, student engagement initiatives, and program improvements. Concurrently, this role is responsible for the comprehensive management of program data, with a focus on internal data collection and analysis to ensure successful program and student outcomes.

A key part of this position involves directly supporting students through advising, creating personalized academic plans, and guiding their transition to further education, training, or the workforce.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assistant Director

* Support Program Director in overall implementation, & evaluation of program activities.

* Assist in overseeing daily program operations, ensuring adherence to KCC and grant regulations.

* Collaborate in refining existing program policies, procedures, and instructional strategies.

* Collaborate with instructors to ensure curriculum materials are aligned with GED test objectives and Adult Basic Skills standards (Oregon Adult College and Career Readiness Standards - OACCRS; Oregon Adult English Language Proficiency Standards - OAELPS) and are incorporated into instructional delivery.

* Provide support for the integration of technology and innovative teaching methods into the classroom environment and in procurement of instructional materials.

* Provide backup reception and front desk support as needed, including assisting students, responding to inquiries, and supporting daily program operations.

* Provide administrative and operational support to ensure the effective functioning of program activities, such as logistics, documentation, and internal processes.

Direct Student Support

* Provide one-on-one student coaching, assessing learners' skills, and developing individual academic progress plans.

* Provide students with direct access to instructional materials and train them on usage.

* Work with staff to support student needs, concerns, and academic progress. Assist in testing administration/scheduling, communication and related activities.

* Coordinate student recruitment, orientation/onboarding, intake, and retention strategies.

* Facilitate student transitions to post-secondary education or workforce training.

* Assist in representing the program at internal and external meetings, workshops, and community events as directed by the Program Director.

* Provide access to partner services.

* Support efforts to foster positive relationships with community partners and referral agencies that benefit the program.

* Support the integration of services with local workforce plans.

* Promote co-enrollment in related programs to offer comprehensive support to students.

Program Data

* Manage and maintain the program's core data tracking systems for enrollment, registration, academic progress, assessments, GED graduation data, and Full-Time Equivalency (FTE).

* Oversee and perform accurate, timely data entry and quality control for all program data.

* Ensure the integrity and security of all program data.

* Analyze data to determine FTE, track academic progress, and measure successful outcomes.

* Develop and generate reports for program planning, improvements, and institutional reporting, particularly focused on enrollment trends, student academic progress, GED completion rates, and transition to post-secondary education or workforce training.

* Identify opportunities for database optimization and efficiency improvements. Perform data backups.

* Support federal and state compliance, including data tracking, reporting, and coordination of GED/ESL/IET requirements, measurable outcomes, and related tasks.

* Troubleshoot database-related issues, providing timely resolution and technical support to staff and students.

* Train program staff on proper database usage, data entry protocols, and analysis.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES

* Other duties as assigned.

* If assigned, this position may require administrative work on grant-funded program activities and reporting.

EDUCATION AND EXPERIENCE

Required:

* Bachelor's degree in Education, Social Sciences, Public Administration, Information Technology, or a related field.

* Minimum of 3 years of experience in an Adult Basic Skills or similar educational/social service program setting.

Preferred:

* Master's degree in Education, Social Sciences, Public Administration, Information Technology, or a related field
