Well established and trusted financial investment firm seeking a highly organized and professional receptionist to join our team and help provide a welcoming environment for our clients and staff.

As the first point of contact for clients and visitors, the receptionist plays a key role in representing our firm. Our ideal candidate will be responsible for handling a range of administrative duties, managing front office operations, and ensuring a smooth office flow. Office hours are M-F 9:00 am-4:30 pm, but this position will target 25-30 hours/week and will have some flexibility.

Responsibilities
  • Greet clients and visitors with professionalism and courtesy
  • Answer phone calls, direct inquiries, and take messages as needed
  • Schedule and confirm appointments, meetings, and conference rooms
  • Maintain the office's general appearance/common areas and ensure it is always presentable
  • Provide administrative support to various departments as needed
  • Manage incoming and outgoing mail and packages
  • General office support duties to include filing, scanning, data entry, order entry for supplies, stocking
  • Some customer service responsibilities will include making non-sales outbound phone calls to clients
Qualifications
  • Proficiency in computer programs to include excel, outlook, word, power point.
  • Excellent communication skills, both verbal and written
  • Ability to work independently, with attention to detail a priority
  • Experience in a receptionist or administrative role, preferably within a professional or financial services environment
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • High school diploma or equivalent required, additional qualifications are a plus
