We are looking for a warm, organized, dependable, and professional Receptionist / Office Coordinator who enjoys helping people and thrives in a fast-paced environment. This person will be one of the first points of contact for our clients, caregivers, families, and community partners and will play an important role in keeping our office running smoothly.

Key Responsibilities

Front Desk & Phone Management

  • Serve as the welcoming first point of contact for visitors, clients, caregivers, families, and community partners.
  • Answer and route incoming phone calls promptly and professionally.
  • Take accurate messages and ensure follow-up with the appropriate team member.
  • Monitor general office communications and help ensure important calls and messages are not missed.
  • Maintain a professional, organized, and welcoming reception area.

Client & Caregiver Support

  • Assist clients, families, and caregivers with basic questions and direct them to the appropriate team member.
  • Help caregivers with routine office needs and administrative questions.
  • Assist with scheduling-related communication and relay important information to the Scheduling Team.
  • Help maintain accurate client and caregiver information within company systems.
  • Provide exceptional customer service to everyone who interacts with our office.

Administrative Support

  • Assist with scanning, filing, data entry, copying, mail, and other general office responsibilities.
  • Help maintain organized client and employee records.
  • Assist with onboarding paperwork and other administrative processes as needed.

    Support office leadership and other departments with administrative projects.
  • Help maintain office supplies and coordinate routine office needs.

Team Support

  • Work closely with Recruiting, Scheduling, Operations, and Business Development.
  • Communicate important information between departments.
  • Help create a positive, team-oriented office environment.
  • Step in to assist other team members when needed.
  • Represent Senior Helpers professionally in every interaction.

Qualifications
  • Previous experience in a receptionist, administrative, customer service, healthcare, or office environment preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail.
  • Ability to multitask and prioritize effectively.
  • Professional phone etiquette.

    Comfortable working in a fast-paced office environment.
  • Proficiency with Microsoft Office and general computer applications.
  • Previous home care or healthcare experience is a plus, but not required.
