Position: Supply Room Specialist #1640 - Administrative Services - Health & Social Services Division

The Hamilton County Health & Social Services Division has a responsibility to respond quickly and efficiently when public health emergencies occur. All Hamilton County Health & Social Services Division employees are responsible for ensuring their contact information is current and they are accessible should a public health emergency arise. The Hamilton County Health & Social Services Division maintains a call down system to store contact information and mobilize staff in the event of an emergency.

During a public health emergency, all staff are required to respond should a call to mobilize be made. During a public health emergency, work hours for any and all Hamilton County Health & Social Services Division employees are subject to modification to meet the needs of the community.

Under general supervision, orders, receives and maintains medical/office supplies and materials for Health Department. Maintains ordering, usage and receipt records and reports; receives and distributes mail to department mailboxes.

ESSENTIAL FUNCTIONS

Gathers, receives, and fills requests for inventoried medical and office supplies and educational materials; may deliver and distribute requested supplies; logs issued items into computer and monitors inventory of remaining supplies and equipment; identifies, prepares, and processes requisitions for items in low supply and/or otherwise needing to be ordered; re-stocks shelves when inventoried supplies are received; monitors stock for expiration and/or "use by dates";

rotates stock as indicated; maintains the supply room in an orderly and organized fashion; conducts a year end-inventory count in compliance with auditor’s standards.

Provides and maintains ordering, usage, and receipt records and reports utilizing a combination of paper and computerized systems. Receives, checks, and delivers items ordered through the purchase order or P-Card system. Updates computer record indicating receipt of merchandise for inventoried and non-inventoried items; issues and documents fixed asset tags.

May receive mail and distribute it to appropriate department mailboxes. Schedules mail and/or package pickup through the appropriate vendor. Stores and maintains bulk items until needed including emergency response supplies. May operate engraving machine as requested and answers phone in a timely manner. Serves as backup for printing needs. Provides direct service to health department staff. Assists the maintenance department as necessary.

Works cooperatively with other staff members and performs other related duties as assigned.

Responsible for ensuring vendors have the appropriate insurance for services and/or products provided and the appropriate Certificate of Liability Insurance form has been obtained when processing Purchase Requisition s. Coordinates Canon Multi-Function Printer consumables, biowaste pickups, and orders State Supplies (EPI, SRW, & TB Clinics).

  • Knowledge of Hamilton County policies and procedures.
  • Knowledge of the use of emergency and non-emergency equipment, materials and supplies.
  • Knowledge of basic principles of inventory control and maintenance.
  • Knowledge of basic principles of record keeping, records and file management.
  • Skill assessing supply and equipment needs and determining appropriate supply levels.
  • Skill dealing with other employees, vendors, and volunteers, interested parties and the general public.
  • Skill effectively managing inventory and stock that includes special storage needs, limited shelf life and related conditions.
  • Skill handling potentially hazardous equipment, materials and supplies.
  • Skill operating a personal computer utilizing a variety of software packages.
  • Skill effectively communicating in both oral and written form.

The equivalent of a high school diploma and a valid driver's license.

PREFERRED QUALIFICATIONS

Two (2) years of direct work experience in warehousing and/or inventory management is preferred.

ADDITIONAL REQUIREMENTS

Prior to operating a County-owned vehicle, all employees are required to complete the HC Defensive Driving course and/or an Emergency Vehicle Operations Course (EVOC) provided at the department level.
