JOB DESCRIPTION
The purpose of this position is to assist the Business Manager with fiscal, office operations, human resource, academic and data management responsibilities, and provide advanced administrative support in the Department of Kinesiology, Recreation, and Sport Studies. Under the general direction of the Business Manager, this position supports the department's central operations by providing fiscal and administrative support to the department (Department Head, Associate Department Heads, Business Manager, Director of Student Support, PEAP Director, Graduate Assistants, and main office staff).
This position will also provide direction and assistance to faculty and staff for fiscal compliance along with granting agency guidelines and will address questions and concerns in a timely manner.
The department serves over 2000 undergraduate and 179 graduate students, and is comprised of over 36 full-time faculty, 14 staff, and over 70 part-time faculty and graduate associates. The department also includes the Physical Education Activity Program, which serves over 5,000 students across campus each year.
This position supports the Business Manager and staff by assisting with fiscal policy compliance, all departmental financial functions, and administrative support for all faculty and staff. This position works with and communicates with various departments across the UT campus as well as external customers. This position is one of the primary initial points of contact for and engages with incoming graduate teaching and graduate research assistants/associates and ensures a smooth onboarding experience.
RESPONSIBILITIESFinancial
- Reconcile monthly financial ledgers for assigned accounts including state appropriated accounts, start-up accounts, seed accounts, endowed and non-endowed gift accounts, income accounts, and research accounts.
- Assist Business Manager with payroll reconciliation, fee waiver management and reimbursement, and compliance.
- Interpret data for preparation, analysis, and submission of reports providing estimates, projections, and spending recommendations to the Business Manager.
- Review DASH transactions at department level.
- Assist Business Manager with preparation of the annual fiscal year budget.
- In coordination with the Bursar's Office, coordinate tuition fee waivers for GTA/GRAs.
- Complete personnel hire processes in DASH and personnel change forms, ensuring compliance with federal employment laws.
- Process eforms including cost distribution and pay changes, additional payments, terminations in DASH.
- Process time entry in DASH for biweekly and monthly payroll, monitor leave balances.
- Create, maintain, change positions as needed in DASH under direction of Business Manager.
- Assist Business Manager with summer payroll, including processing additional payments, monitoring salary caps, monitoring enrollment, and assisting Post-Award Specialist with compliance for sponsored awards.
- Assist new faculty, graduate assistants/associates, and staff members in learning department and university policies and procedures.
- Assist Business Manager with Assistantship coordination.
- Serve as backup to Business Manager with Faculty hiring process.
- Assisting with departmental events.
- Assist with facility related projects, and ensure KRSS office is maintained (clean, organized, etc.).
- Assisting internship and practicum coordinators, as well as faculty by preparing and submitting documents for various types of contractual agreements for the department, including new and ongoing affiliation agreements, MOU/MOAs, etc.
- Serve as backup to Administrative Specialist and Financial Associate: general office management, records, FWS secondary supervisor, travel.
- Other duties as assigned by the Business Manager.
Required Qualifications
- Education:
High School Diploma or GED. - Experience:
At least two years of office experience in a position that requires accounting skills.
- Knowledge and mastery of standard accounting principles (GAAP).
- Proficiency with common office and database software.
