Medical Practice Administrator - Regional Neonatal Associates

Knoxville, TN | Full-Time or Part-Time (4 days per week) with Benefits| Monday-Friday, 8AM-5PM

Regional Neonatal Associates, in partnership with University Physicians' Association, Inc. (UPA), is seeking an experienced, highly motivated Office Manager to join our dedicated team. This is a wonderful opportunity to support the continued growth of a thriving inpatient medical practice within the Regional Perinatal Center at the University of Tennessee Medical Center. What You'll Do

As our Practice Administrator, you will oversee daily business operations and ensure our practice runs smoothly, efficiently, and in alignment with our standards of excellence.

Key responsibilities include:

Operational & Administrative Leadership

* Oversee scheduling, staffing, back-office workflows, order tracking, and payroll.

* Provide expert guidance and solutions to administrative and technical questions.

* Identify and resolve complex issues while serving as a subject-matter resource for the team.

* Stay current on industry trends, technologies, and best practices.

* Support continuous quality improvement initiatives across the practice.

* Address and resolve patient complaints, maintain high standards of customer service.

Team Leadership & Development

* Ensure adequate staffing levels and oversee daily team operations.

* Lead, mentor, and coach staff while fostering a collaborative, positive culture.

* Address performance concerns professionally and document employee performance.

* Assist with evaluations, hiring decisions, promotions, and corrective actions.

* Manage staff communication through meetings, huddles, and ongoing feedback.

* Serve as a role model by demonstrating professional excellence and cultivating a culture that aligns with UPA values.

Systems & Reporting

* Oversees billing and revenue cycles.

* Prepare reports, analyze performance metrics, and benchmark data.

* Manage special projects and produce supporting materials such as spreadsheets, charts, and correspondence.

* Communicate operational issues promptly and accurately.

Compliance & HR Oversight

* Ensure adherence to regulatory requirements, including TOSHA, TJC, OSHA, CDC, and UPA policies.

* Supervise data entry, audits, and accurate reporting of statistical information.

* Serve as the on-site HR representative-maintaining employee files and supporting compliance initiatives.

* Oversee medical records management and ensure confidentiality and security standards.

* Process payroll accurately and on time.

* Serve as the on-site point of contact for business equipment and technology troubleshooting.

* Handle confidential information with the utmost professionalism.

Requirements

General Requirements

* Minimum 2 years of managerial experience in a healthcare setting.

* Bachelor's degree in healthcare administration or a related field.

* In lieu of a degree, 5-7 years of healthcare management experience supervising a minimum of 10 employees.

Skills & Knowledge

* Knowledge of standard precautions and clinical/medical terminology.

* Familiarity with regulatory agency requirements (JACHO, OSHA, CDC).

* Ability to operate standard office and medical practice equipment.

* Understanding of coaching and counseling techniques for staff development.

Professionalism & Communication

* Exceptional interpersonal, verbal, and written communication skills.

* Ability to build strong, ethical, and culturally competent working relationships.

* High emotional intelligence and ability to remain positive under pressure.

* Commitment to patient confidentiality, informed consent, and high-quality patient care.
