Help us help others:The Office Coordinator for our Mental Health Services will provide numerous varieties of administrative services to help keep our team organized, on track, and optimally functioning. The Office Coordinator will, under the direct supervision of the Center Director, supervise the support staff and business functions of the clinic.
This position supports clinic business operations, including medication assistance coordination, medication tracking, financial and demographic processing, insurance verification and pre‑authorizations, billing support, purchasing, safety compliance, lab billing reconciliation, and appointment scheduling. Responsibilities also include cash handling, petty cash oversight, documentation management, and coordination of Medicaid, Medicare, and private insurance authorizations.
Backup duties include front desk coverage, phone support, payment collection, scheduling assistance, data entry, records maintenance, correspondence management, chart preparation, medical records requests, client support tasks (including vital signs), fax coordination, video intake support, and travel voucher processing.

- Coordinate and maintain clinic vehicles.
- Maintain Voyager and vendor logs.
- Perform NEC overrides and medication prior authorizations.
- Two years of experience in an administrative role
- Well organized.
- Ability to write complex sentences; use normal word order with present and past tenses; use good vocabulary.
- Ability to respond to common inquiries or complaints from customers and members of the community.
- Ability to effectively present information to position supervisors and public groups.
- Ability to work with simple mathematical concepts such as multiplication, division, addition, and subtraction.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- A valid Texas State Driver’s License
- Employ excellent verbal and written communication skills to engage effectively.
- Maintain a well‑organized calendar and files, and prioritize effectively to ensure completion of duties.
- Maintain accurate and timely documentation with a high level of typing and communication proficiency.
- Sustain a calm demeanor when under pressure to handle sometimes difficult situations.
- Provide exemplary customer service and care for your team.
- Work autonomously to complete assignments.
- Must become certified in PMAB, First Aid, and CPR within three months of employment and maintain certification without interruption thereafter.
- Work cooperatively with others and be punctual and consistent in attendance because your people will rely on you!
