Office Administrator/ Coordinator
Position Summary
The Administrative Assistant - Foundation provides administrative support for donor relations, data management, and daily office operations. The position helps process gifts, maintain accurate records, coordinate events, and assist with scholarships and stewardship activities. It also supports special projects and ensures smooth communication and logistics across Foundation and alumni programs.
HoursFlexible Monday–Friday between 8:00 am and 4:30 pm, totaling 23 hours per week. The role requires availability at least three days per week.
Responsibilities1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.
2. Perform office functions that may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

Administrative Support- Process and record donor gifts, including accurate data entry in Raiser’s Edge.
- Prepare gift acknowledgments and support donor stewardship communications.
- Maintain and update donor, alumni, and constituent records to ensure data accuracy.
- Assist with prospect research, data queries, reporting, and campaign planning activities.
- Provide general administrative support, including scheduling, correspondence, meeting coordination, and document preparation.
- Support scholarship administration and respond to inquiries from students, donors, and community members.
- Provide administrative support for Foundation and alumni events, including logistics coordination, registration management, preparation of materials, and on‑site assistance.
- Support event operations by coordinating volunteers, arranging facilities, and assisting with event communications.
- Contribute to special projects and organizational initiatives as assigned.
- Associate degree in related field OR
- Education in related field combined with appropriate occupational experience totaling 2 yrs. OR
- Related occupational experience totaling 2 yrs.
This position reports to:
Executive Director – Foundation.
Starting annual/hourly salary range based on education and experience: $22.28 – $28.54.
