Summary of Position

:
This position is responsible for providing administrative and data support that ensures the smooth and efficient operation of the division. The role supports daily office functions, maintains accurate and confidential records, delivers responsive customer service, and provides reliable backup coverage across the department. It also coordinates part-time and student staff and contributes to budget, reporting, and compliance activities that support the division's overall effectiveness.

This position is a limited term position with an end date of 6/30/2028.

Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.

2. Perform office functions which may include but are not limited to: respond to internal/external customers and staff; compile data, create, modify, proofread and edit documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.

3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.

5. Administrative Support
- Supporting Action/Task May Include:

  • Provide classroom support to faculty by preparing classroom materials, coordinating textbook ordering and proctoring exams/scheduling rooms
  • Provide information to students, staff and stakeholders and coordinate department projects, meetings, and complex calendars.
  • Provide day-to-day computer support for the department, faculty, and students.
  • Update and maintain student records and assist with various student-related inquiries and processes.
  • Assist students with questions, class requirements, class schedules, registration, and orientation
  • Arrange and process travel, registration requests, student testing, orientation and student tours
  • Monitor and purchase supplies and distribute key requests
  • Monitor, maintain, analyze data and process required reporting
  • Assist with updates to office policies, procedures, forms, flyers, and division website.
  • Collect and distribute new hire paperwork to Human Resources and maintain internal staff department records.

6. Data & Budget Support
- Supporting Action/Task May Include:

  • Assist in annual budget evaluation to monitor division funding and expenses and process budget reports
  • Create and maintain Excel spreadsheets for tracking various grant requirements
  • Assist with implementation of software updates
  • Assist with on-site visits and audits
  • Assist with special projects as needed
