  • Support day-to-day operations and activities of the Small Business Development Center, Center for Entrepreneurship and Innovation, and campus/college outreach activities
  • Support financial and grant management, data analysis and reporting, budget monitoring, event and training planning, administrative/office support, and information technology coordination
  • Manage SBDC client consulting and training information systems and participate in statewide WSBDC data-system planning and implementation
  • Track programmatic trends, compliance requirements, outcomes, quarterly reports, annual surveys, and grant metrics
  • Manage workflow, budgets, reporting functions, data analysis, records, communications, client/program participant interfaces, events, travel planning, counselor/instructor scheduling and payments
  • Track funding-source policies and ensure compliance and operational efficiency
  • Manage general office activities, campus policies, Workday, CRM, Zoho, Backstage, Teams, registration, purchasing, invoicing, expense reporting, procurement cards, and documentation systems
  • Maintain office manuals, records, retention systems, educational materials, client/resource documents, and the UWL SBDC website
  • Support recruitment, hiring, orientation, training, scheduling, payroll, and assignments for student employees and staff
  • Support correspondence, public inquiries, outreach marketing, campus meetings, professional development, events, special projects, grants, and community/economic outreach
  • Manage client electronic information systems, case records, confidential files, reporting, data integrity, surveys, and user training
  • Maintain counselor and instructor credentials, contracts, confidentiality/conflict-of-interest statements, and communications
  • Prepare for and participate in state/federal audits, center reviews, and accreditation visits
  • Assist with client intake, eligibility, appointments, communications, documentation, registrations, CRM tools, newsletters, website, and social media
  • Monitor grant and other accounts, bookkeeping, encumbrances, purchases, bids, reconciliations, invoices, expenses, payments, transfers, budget justifications, contracts/subawards, grant revenues, and account closeouts
Requirements
  • Associate’s degree (equivalent in education and related experience may be considered to meet this requirement)
  • Experience working with business and financial data and budgets sufficient to assist with contracts, invoices, and budget management activities
  • Ability to pay attention to details, access online data and resources, and demonstrate familiarity with management information systems
  • Ability to enter data, perform system queries, and create, generate and write reports
  • Ability to adapt to change while managing multiple tasks in a confidential, proactive, and professional manner
  • Excellent written and oral communication skills
  • Ability to think and work independently and as part of a team
  • Bachelor’s degree in a related field (preferred)
  • Knowledge of Microsoft Word, Excel, PowerPoint, Teams, Zoho, Backstage, Constant Contact, Workday, client relationship management systems, registration tools, and client/program participant support tools (preferred)
  • Work experience in a business setting and financial skills sufficient to monitor budget expenditures, calculate account transfers and balances, prepare for reviews and audits, support grant compliance and administration, and manage and report data (preferred)
  • Experience with adult education, business outreach, student support activities, program planning and event logistics (preferred)
  • Legally authorized to work in the United States at the time of hire and maintain work authorization throughout employment
  • Ability to perform some standing, lifting/moving, and operate computers, AV equipment, Zoom, and Teams
  • Ability to work rare evenings, early mornings, and/or weekends and travel occasionally in the region/state
