Clinic Scheduling Coordinator

The Clinic Scheduling Coordinator supports the Clinic Manager and works closely with Clinic Coordinators to ensure accurate and efficient scheduling of clinic providers. The scheduling coordinator manages appointment templates, blocks time for meetings and leave, and oversees call schedules to maintain accuracy and smooth clinic operations.

Qualifications:

  • High school diploma or GED
  • Two years of experience in a receptionist or customer service role, preferably in a healthcare setting.

Primary Duties and Responsibilities:

  • Oversee and maintain accurate provider and clinic schedules, including appointment templates and blocked times for meetings or leave.
  • Communicate promptly with Clinic Coordinators and the Clinic Manager regarding schedule discrepancies or missing provider time-off calendars.
  • Assist in rescheduling patients as needed due to changes in provider availability or clinic schedules.
  • Distribute and manage call schedules, ensuring vacation times and availability are communicated to relevant departments.
  • Respond efficiently to phone inquiries and quickly adjust schedules to accommodate emergent needs.
  • Collaborate with Clinic Coordinators and clinical staff to optimize patient access and clinic workflow.
  • Verify patient insurance benefits and eligibility and clearly communicate insurance information to patients and staff.
  • Maintain confidentiality of patient and clinic information while promoting a positive, professional, and supportive environment.

Skills and Abilities:

  • Excellent verbal and written communication for interacting with patients, families, providers, and coworkers.
  • Ability to identify problems and find effective solutions.
  • Problem-solving ability to independently identify scheduling conflicts and implement timely solutions while collaborating with the team.
  • Strong organizational skills to manage multiple provider schedules, appointment templates, and call rotations accurately and efficiently.
  • Skilled in educating patients about their care and treatment options.
  • Strong ability to multitask and manage time effectively in a busy clinic environment.
  • Proficiency with scheduling software and Microsoft Office Suite

Physical Demands and Work Environment:

  • Occasional lifting and carrying of materials weighing up to 25 pounds.
  • Able to sit for extended periods (up to 8 hours per day), and frequently stand, walk, bend, squat, reach, and stretch throughout the workday.
  • Ability to communicate effectively through reading, writing, and speaking in person or on telephone.
  • Requires frequent use of a computer and standard office equipment, including extensive use of hands and fingers for typing, document handling, and data entry.
  • Must be able to perform the primary duties and responsibilities of the job with or without reasonable accommodation.

Compensation: $21.73-$29.95 DOE
