Transportation Department Office Manager

Job Goal:
To provide assistance and support to the Transportation Director in interfacing with the public and in operation of the transportation office.

Transportation Dispatcher, Transportation Secretary, Transportation Receptionist, Transportation PM Dispatcher | Terms of Employment:
Compensation will be determined based on a 260-day contract on the board approved 109 salary schedule. This position requires an 8-hour work day.

Minimum Qualifications
  • High School graduate with some college or business college background.
  • Previous secretarial experience.
  • Word processing experience necessary.
  • Understanding the responsibilities of all transportation staff.
  • Public relations skills.
  • Must be able to lift, push or pull 45 pounds and also be able to bend at the waist, kneel and reach above your head.
Performance Responsibilities
  • Maintain office files regarding absentees, injury, disciplinary reports, driver CDL testing, drug screenings and other personnel matters.
  • Complete required forms and make reports concerning injury, absentees and payroll matters.
  • Process purchase orders and maintain files containing purchase order records. Process purchase orders in MUNIS for payment. Process invoices for payment of all bills approved by the Director of Transportation.
  • Assume responsibility for ensuring all field trip requests are processed in accordance with district and department policies.
  • Process all employees time in Frontline.
  • Work in Versa Trans assisting parents and schools with questions regarding routes and student pickup information.
  • Maintain a sufficient inventory of office supplies and order/reorder as required.
  • Receive all incoming mail and pony items.
  • Keep a supply of new driver packets on hand.
  • Receive all incoming calls and visitors to the transportation office in a friendly, helpful and efficient manner.
  • Assume responsibility for knowing current bus route data and assist in delivering information to parents and school staff.
  • Assume responsibility in ensuring transportation secretaries / dispatchers and or receptionist perform their assigned duties.
  • Assume responsibility in ensuring the transportation office operates in an organized and efficient manner.
  • Assist transportation staff with benefits, payroll and personnel matters.
  • Process all communications for the Director of Transportation.
  • Conduct initial interview of bus driver and bus monitor applicants.
  • Other duties as assigned by the Director of Transportation.
