About the Role
Robert Half is partnering with a respected wealth management firm to hire an experienced Executive Assistant to support the Chief Executive Officer. This highly visible role requires a proactive, detail-oriented professional who can manage complex priorities, anticipate executive needs, and provide seamless administrative and operational support. The ideal candidate is organized, resourceful, and thrives in a fast-paced environment while maintaining the highest level of professionalism, discretion, and confidentiality.
Key Responsibilities:
Executive Partnership & Administrative Support
+ Serve as a trusted partner to the CEO, proactively managing a complex calendar, competing priorities, and daily business activities.
+ Coordinate executive meetings from planning through execution, including scheduling, preparing agendas and meeting materials, documenting action items, and ensuring timely follow-up.
+ Manage executive communications by screening correspondence, prioritizing requests, and responding or escalating matters appropriately.
+ Prepare, edit, and proofread presentations, reports, board materials, client communications, and other executive-level documents.
+ Coordinate detailed domestic and international travel arrangements, including itineraries, accommodations, transportation, and logistics.
+ Process expense reports, maintain executive records, and oversee day-to-day administrative operations supporting the CEO.
+ Handle highly confidential information with professionalism, discretion, and sound judgment.
Business Operations & Strategic Support
+ Support the CEO with strategic initiatives, organizational priorities, and cross-functional projects.
+ Conduct research, compile data, and prepare executive summaries to support business decisions.
+ Track key initiatives, project milestones, and deliverables while ensuring accountability across departments.
+ Develop and maintain reports, dashboards, and tracking tools that provide visibility into organizational priorities.
+ Identify opportunities to improve operational efficiency and recommend process enhancements.
+ Assist with annual planning activities, leadership initiatives, and business operations as needed.
Relationship Management & Communication
+ Serve as a primary liaison between the CEO, executive leadership team, clients, advisors, and external business partners.
+ Foster strong relationships through timely, professional communication and exceptional service.
+ Coordinate executive leadership meetings and ensure follow-up on key decisions and action items.
+ Represent the Office of the CEO with a high level of professionalism, confidentiality, and executive presence.
Project Coordination
+ Lead administrative coordination for special projects and executive initiatives.
+ Monitor project timelines, priorities, and deliverables across multiple departments.
+ Partner with leadership to ensure projects remain on schedule and organizational objectives are achieved.
+ Assist with implementing new processes, systems, and operational improvements.
Requirements
Qualifications:
- At least 6 years of experience providing high-level administrative support, with substantial exposure to executive leadership environments.
- Strong background in calendar management, meeting coordination, travel planning, and expense reporting.
- Excellent written and verbal communication skills with the ability to prepare high-quality business materials.
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- Demonstrated ability to manage sensitive information with sound judgment and discretion.
- Proven organizational and project coordination skills, with the ability to balance multiple deadlines and shifting priorities.
- Bachelor's degree in Business Administration, Communications, Finance, or a related field is preferred.
- Prior experience in financial services, banking, wealth management, business services, or a similar industry is preferred.
