Business Operations Analyst-Sanford Stem Institute
Under supervision, the Business Operations Analyst provides key support in business operations, fiscal management, research administration, facilities management, and other special projects. The incumbent works closely with the Business Operations Manager and Business Office Director to develop short- and long-term solutions to streamline business operations for the Sanford Stem Cell Institute (SSCI). Incumbent develops and implements operational changes to accommodate long-term management decisions.
Serves as generalist participating in reviewing processes and procedures, independently analyzing projects containing complex information, contributing to the annual budget, pre/post award administration, staffing, and space and facilities management.
Provides expert resource support to Sanford Stem Cell Institute faculty and staff who are assigned the responsibility of day-to-day financial operations such as travel, purchasing, entertainment and personal reimbursements.
Provides resource support to Centers regarding staffing matters and relevant financial assessment and/or transactions. Responsible for personnel transactions and the management of UC Path.
Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.
Minimum Qualifications:
- Six years of related experience, education/training, OR an Bachelor's degree in related area plus two years of related experience/training.
- Demonstrated experience in principles and practices of fund accounting, cost analysis, and audit procedures. Working knowledge of accounting principles, business math and bookkeeping for budget planning and analysis, and reconciling discrepancies. Demonstrated experience analyzing financial data to develop budgets and monitor spending.
- Demonstrated analytical and problem-solving skills with ability to analyze situations, identify existing or potential problems, recommend solutions, determine and implement procedures to accomplish effective resolution.
- Working knowledge of human resources policies and procedures.
- Demonstrated experience with grant proposal preparation and submission.
- Demonstrated experience with complex calendaring, travel, procurement, reimbursement, and event planning.
- Solid organizational skills and ability to multi-task with demanding time frames. Strong ability to prioritize occasionally heavy workload and meet multiple deadlines.
- Proven ability to develop, analyze, and carry out program and project objectives and work with others in achieving organizational goals; ability to research, gather, and organize information to produce clear and concise reports using various resources; ability to follow up with and monitor ongoing projects. Competence in understanding interpreting, and effectively communicating procedures, policies, information, ideas and instructions.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Excellent writing skills and control of standard English, including grammar, spelling, and punctuation usage, to compose, edit and finalize business reports and correspondence.
- Ability to use discretion and maintain confidentiality.
- Ability to use sound judgment in responding to issues and concerns.
- Working knowledge of common organization-specific and other computer application programs. Proven ability to utilize spreadsheets and databases to interpret, organize, and report on financial information.
Preferred Qualifications:
- Knowledge of UC human resources and personnel policies. Experience with staff recruitment within the UC system.
- Familiarity with program annouances and grants made by California Institute for Regenerative Medicine (CIRM).
- Knowledge of Oracle Financial Cloud, JDOnline, Concur, and Payment Works.
- Experience assisting with space planning and analysis, facilities construction, renovation, and moves.
Special Conditions:
- Must be willing to work near labs where biological, chemical, and radiation hazards are present and animals and human embryonic stem cells are used in research.
- Must be willing to enter labs for facilities and space responsibilities.
