About the Role:

The Business Office Assistant plays a crucial role in supporting the daily operations of the business office by managing administrative tasks and facilitating smooth communication between departments. This position is responsible for maintaining accurate records, processing financial documents, and assisting with billing and invoicing activities to ensure timely and precise financial transactions. The role requires a detail-oriented individual who can handle multiple tasks efficiently while providing excellent customer service to both internal teams and external clients.

The Business Office Assistant contributes to the overall efficiency of the office by organizing files, scheduling appointments, and supporting various business functions as needed. Ultimately, this position helps maintain the integrity and organization of business processes, enabling the company to operate effectively and meet its financial and administrative goals.

Minimum Qualifications:
  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Basic understanding of office administrative procedures and financial documentation.
  • Strong organizational skills with attention to detail.
  • Effective verbal and written communication skills.
Preferred Qualifications:
  • Associate degree or higher in Business Administration or related field.
  • Experience with accounting software or enterprise resource planning (ERP) systems.
  • Prior experience in a business office or administrative support role.
  • Knowledge of billing and invoicing processes.
  • Ability to multitask and prioritize in a fast-paced environment.
Responsibilities:
  • Manage and organize business office files, records, and documentation to ensure easy retrieval and compliance with company policies.
  • Process invoices, billing statements, and payment transactions accurately and in a timely manner.
  • Assist with scheduling meetings, appointments, and coordinating communication between departments and external partners.
  • Respond to inquiries from clients, vendors, and internal staff, providing clear and professional information or directing them to the appropriate personnel.
  • Support the preparation of financial reports and assist with budget tracking and expense documentation.

Rate: $24–$32/hour, depending on experience

Schedule: Full-time
